Job Description

Job Responsibilities:

  • Responsible for office administration duties, include but not limited to, repair & maintenance of office equipment, procurement of office supplies and equipment, information upload to staff portal, mails opening & sorting, document & mails delivery (outdoor work is required), facilitate staff engagement activities, coordinate PABX telephone system, name plate, arrange workstation and keys to new joiners or leavers;
  • Prepare monthly reports on administration services, inventory tracking, seating plan, maintenance record, etc.;
  • Coordinate with BEA Facilities Management Department (FMD) and vendors on warehouse storage, collection of recycle bags on weekly basis as well as repair and maintenance of office equipment, facilities and furniture, etc.;
  • Prepare payment request on office administration services; prepare notice, memo, guidelines and PowerPoint slides, if required;
  • Assist in handling BCP projects and collaborate with various Departments / Divisions;
  • Engage in company events and projects, such as logistics and clerical support;
  • Be back up the reception duties in terms of handling enquiry calls, coordinating with courier for parcels delivery and managing meeting room bookings, when necessary;
  • Trouble shooting / problem solving / ad hoc duties as assigned from time to time.

Job Requirements:

  • Diploma or above;
  • Minimum 3 years’ relevant working experience in office administration;
  • Preferably experience gained from insurance or banking industry;
  • Well organized, flexible, proactive and willing to learn;
  • Customer services oriented with good interpersonal skills;
  • Excellent written communication skills both in Chinese and English;
  • Detail-minded with high degree of accuracy and efficiency ;
  • Ability to multitask, work under pressure and good time management skills.
  • Proficiency in using Microsoft Word / Excel / PowerPoint is preferable;
  • Overtime works during weekday and weekend as deemed required and necessary.
