Job Description

Job Responsibilities: 

  • Input suppliers' and subcontractors' invoice and account data;
  • Maintain and report inventory record periodically;
  • Handle incoming and outgoing correspondence, circulation of documents;
  • Maintain filing systems such as tenders, procurement, maintenance works;
  • Prepare site inspection and works completion reports for maintenance works;
  • Prepare company information for tender pre-qualification;
  • Arrange promotional brochures, coordinate subscription and advertisement;
  • Handle department members’ application for travel, entertainment, leave, etc., and follow up their daily / monthly submission / claim including expense claim and timesheet;
  • Handle office routine work including but not limited to photocopying, faxing, filing and distribution of documents;
  • Maintain and update periodically the database on supplier / subcontractor list and price list for reference;
  • Identify the scope of work as defined on the quotation / tender specification and drawings;
  • Study the specification and quotation / tender drawings and perform quantity take-off;
  • Obtain various quotations from suppliers / subcontractors and analyze the quotations for pricing;
  • Prepare itemized breakdown of material take-off of façade components;
  • Amend and finalize the quotation / tender cost as agreed with the Management;
  • Prepare cost distribution of material rates in the Schedule of Rate / Bill of Quantities;
  • Prepare final account of subcontractors / fabricators if required; and
  • Perform ad-hoc assignments as required.

 

Job Requirements: 

  • Diploma holder or above.
  • Minimum 2 years of work experience, 1 year of which is in relevant position.
  • Proficient in PC operations, e.g. MS Word, Excel,Outlook.
  • Proficient in both spoken and written Chinese and English, including Putonghua.
  • Good team player with strong communication and coordination skills.
  • Well-organized, self-motivated, initiative, independent, responsible and able to work under pressure.
