Job Summary
Assist and support APAC Engineering Manager with administrative, contract management and engineering control processes support to ensure continued business operations for critical systems with the objectives of 100% uptime

Assist and support APAC Engineering Manager with administrative, contract management and engineering control processes support to ensure continued business operations for critical systems with the objectives of 100% uptime
Essential duties and responsibilities
- Support APAC manager in delivering APAC engineering duties
- Support and governance in regional service contracts and agreements
- Carry out a service request to vendor following maintenance schedules ensuring that work performed in these areas is accomplished efficiently with a minimum amount of disruption and inconvenience
- Compile and submit weekly service reports for review with APAC Engineering Lead
- Maintains calendar and vendor database, schedule maintenance, arrange meetings and monitor supplier partners
- Managing payment status on systems and advise relevant departments on the status or escalations
- Maintain documentation records and filing systems
- Prepare reports on request
- Responsible for the Vendor Invoicing processing including routing, coding and allocating within APAC countries and select Markets
- Maintains Technology accuracy
- Co-ordinates database for APAC and manages work allocation
- Utility Management including consumption validation, Utility invoice uploads, Cost validation, CRC data verification and Data quality reviews
- Staff and Vendor Staff Physical Access Management Co-ordination
- Staff and Vendor Staff on/off boarding process administration to critical areas
- Where contracts are principal or agent engaged ensure compliance to Vendor Performance Management to Playbook and that monthly check sheets are completed and in line with playbook requirements
- Develops a process and ownership that regularly reviews compliance to GSA that provides the leadership team with assurance all contractual deliverables are being met
Essential Skills:
- Self motivation and working under pressure to balance conflicting deadlines is essential
- Results oriented - ability to achieve business goals, with a concern for working well, surpassing standards of excellence and passion for challenges
Qualifications / Experience / Professional Memberships:
- FM or Engineering Vendor Management Background
- Excellent customer orientation
- Thorough knowledge of databases and the ability to manipulate and analyse information accurately, property management, craft skills, and engineering or comparable industry experience desired
- Experience in Sourcing & managing subcontract work preferred
