Job Description

OFFICE OF THE VICE PRESIDENT (RESEARCH DEVELOPMENT)

Senior Personal Secretary (Ref. 19050703-E)

Duties

The appointee will be required to:

(a) provide administrative and secretarial support to the Vice President (Research Development);

(b) handle information flow and maintain an effective record and filing system;

(c) handle sensitive and confidential matters in a professional manner;

(d) organize meetings, and plan for and coordinate visits/events;

(e) handle enquiries and receive visitors;

(f) maintain very cordial relations between the Office of the Vice President (Research Development) and a wide spectrum of internal and external partners and stakeholders;

(g) handle written and electronic correspondences in both English and Chinese; and  

(h) perform any other duties as assigned by the Vice President (Research Development) or his delegates.

Qualifications

Applicants should:

(a) have a recognised degree plus not less than five years of relevant administrative /  secretarial experience OR a recognised diploma / certificate plus not less than ten years of relevant administrative / secretarial experience;

(b) be well-organized and very attentive to details;

(c) be able to initiate appropriate actions and work independently, and be alert to sensitive matters;

(d) have excellent communication and interpersonal skills;

(e) be able to work under pressure with multi-tasking skills, and willing to work beyond normal office hours when necessary; and

(f) have a very good command of both written and spoken English and Chinese plus good computer skills, with fluency in Putonghua being an advantage.

Shortlisted candidates will be invited to sit for a written language proficiency test.

Remuneration and Conditions of Service

A highly competitive remuneration package will be offered.  Initial appointment will be on a fixed-term gratuity-bearing contract.  Re-engagement thereafter is subject to mutual agreement.  Applicants should state their current and expected salary in the application.
