Job Description

GENERAL SUMMARY:

This role will be the main contact window for any admin vendors and will be key in maintaining and providing smooth administrative and clerical support to ensure the efficient operation of the department and office.

 

ESSENTIAL DUTIES & RESPONSIBILITIES:

  • Receiving visitors by greeting, welcoming, directing them appropriately and make sure they are promptly dealt with
  • Answer, screen and forward incoming phone calls
  • Receive and sort daily mails
  • Handle all incoming and outgoing parcels and perform courier-related duties
  • Ensure reception area is tidy and presentable
  • Offer administrative support across the company
  • Maintain office security by following safety procedures and control access via the reception desk
  • Order office supplies and keep inventory of stock
  • Provide admin and financial support (monthly attendance report, staff contact list and payment vouchers)
  • Keep updated records of office expenses and costs
  • Update and manage the renewal of company’s Corporate Room Rate of Hong Kong hotels
  • Perform other clerical receptionist duties such as filing, photocopying and faxing
  • Provide support to both international and local travel arrangements (transportation, visa and accommodation) as directed by the HR team
  • Provide clerical and administrative support  to Executive Director
  • Perform other duties as assigned by the company

 

REQUIREMENTS:

  • Form 5 or above with a pass in English Language (Syl. B) in HKCEE / HKDSE and with commercial training
  • 2 years’ clerical working experience will be an advantage
  • Good command in both written English and Chinese and fluent in spoken English, Cantonese and Mandarin
  • Well-versed in MS Office applications, e.g. Outlook, Word Excel, Chinese WP
  • Detail-minded, good communication and interpersonal skills
  • Right working attitude, hardworking, meticulous, willing to learn and with strong sense of responsibility
  • Cheerful personality, polite, pleasant, outgoing and stable
  • Immediate available will be an advantage
  • Current year fresh graduate of HKDSE may not be considered
