Job Description
Role:
The Administrative Assistant performs general clerical duties to include but not limited to: calls screening, photocopying, emailing mail distribution, filing, meeting and travel arrangements, etc. He/ she coordinates and maintains records and creates and modifies various documents.
Duties:
- Performs administrative duties for Executive Management Members;
- Screens and directs calls;
- manages calendars, organizes and schedules appointments, take detailed minutes;
- Makes travel, meetings and events arrangements;
- Assists Executive Management members and sales in preparations of presentations, demos, quotes, Social media campaigns and other documents and materials preparation;
- Writes and distributes email, correspondence memos, letters, faxes and forms;
- Performs translations in Chinese;
- Assists in preparing reports and financial data, and on the follow-up of account payable (AP);
- Assists in the preparation of develop and maintains a filing system;
- Updates and maintains office policies and procedures;
- Orders office supplies and research new deals and suppliers;
- Maintains contact lists;
- Submits and reconcile expense reports, handles expenses re-billing in close collaboration with Senior Accountant;
- Provides general support to visitors and Customers;
- Act as the point of contact for internal and external clients.
Skills & Requirements:
- Diploma in Business Administration or related disciplines, additional qualification as an Administrative assistant or Secretary will be a plus;
- 3+ years of hands on administrative support experience;
- Proficiency in MS Word, MS Excel, MS Outlook, and MS PowerPoint in particular is a must;
- Knowledge of operating standard office equipment;
- Excellent time management skills and the ability to prioritize work;
- Strong organizational skills with the ability to multi-task;
- Strong problem solving skills;
- Good research skills and attention to detail;
- Excellent written and verbal communication skills
- Fluency in English and Chinese is a must
