Job Description

PRINCIPAL DUTIES AND RESPONSIBILITIES

Primary Event Management Responsibilities  

  • Event Space Management: Managing an event calendar, responding to space requests and  reserving space
  • Manage relationships with internal and external partners and stakeholders to run successful  events
  • Manage all pre‐event logistics and coordination: venue filtering and selection, event setup,  participants’ access to venue, AV/IT requirements, budgeting, catering, transportation and any  other requirements
  • Assist with event marketing including: desktop publishing, email invitations, social media, event  registration systems and pre‐ and post‐event communications with attendees
  • Manage and support all event‐related tasks on day of event: prepare and manage materials for  distribution,  venue  preparation,  staffing  of  events,  greeting  and  hosting  of  participants,  coordinating with external vendors, service providers, and internal staff
  • Post event follow up: manage event data processing and analysis, secure and process attendees and alumni information onto appropriate databases, send thank you notes and event summary  report and distribution  

Other responsibilities  

  • Ensure that all events are marketed in all of the correct channels, including through the marketing  department, the school website, all social media outlets, etc.
  • Manage ordering, quality control, and inventory of Booth branded items/gifts 
  • Support Booth and University‐sponsored events as required 
  • Maintain complete and accurate records on budget and program expenditure, creating reports as  required and providing information to managers
  • Evening and weekend work, as well as occasional travel within and outside of Asia for meetings  and to support events required
  • Other related duties as assigned

MEASUREMENTS OF SUCCESS

  • Demonstrating a high level of event management competence 
  • Successfully completing scheduled events stakeholders’ expectation 
  • Achieving high satisfaction ratings as reflected in event evaluation and reports 
  • Working efficiently with minimal direction; anticipating issues and problems 
  • Meeting or beating all event project deadlines and targets, including budgetary targets 
  • Developing effective working relationships with internal and external partners   

KNOWLEDGE, SKILLS AND EXPERIENCE 

  1. Bachelor’s degree/Diploma in business, hospitality, logistics or other relevant subject 
  2. At least 5 years of progressive experience planning multiple events in the corporate, training,  hospitality or education space, in a diverse, multi‐cultural environment 
  3. Some experience being the sole owner / overall responsible person for a portfolio of events is  strongly preferred 
  4. Excellent communication, interpersonal and public contact skills required. Fluency in oral and  written English and Cantonese is required. Additionally some Mandarin language is preferred.  
  5. Excellent organizational skills, initiative, and attention to detail required 
  6. An ability to make decisions, anticipate resolve problems required 
  7. An ability to multitask, work on multiple projects, and still meet or beat all deadlines in a fastpaced environment required  Willingness and ability to pitch and help out with many other types of events and activities  required 
  8. Willing to work long hours at times, including evenings and weekends and to travel internationally  required 
  9. High proficiency with Microsoft office (especially Excel, Word, PPT) and Adobe required 
  10. The right to work legally in Hong Kong on a permanent basis is required   

SALARY AND BENEFITS

The salary will be competitive and commensurate with experience. In addition to salary, Chicago Booth  offers an attractive benefits package including 20 days holiday per year – prorated (excl. Hong Kong Public  Holidays), MPF contribution, private medical and dental insurance, and life insurance.
