Job Description

GENERAL SUMMARY
The primary responsibility of this role is to assist the Executive MBA Admissions team on student recruitment and admissions, including but not limited to: event management, assisting students on admissions and enrolment processes, and providing the team with administrative and clerical support.  

  

PRINCIPAL DUTIES AND RESPONSIBILITIES

General Administrative responsibilities

  • Assist with the production of marketing collaterals (such as flyers, souvenirs)
  • Keep track and monitor team's expenses
  • Process invoices regularly and handle team reimbursements
  • Input data and update database regularly
  • Arrange courier delivery
  • Fully support the team with general administrative and clerical support
  • Any other duties and projects as assigned


Admissions responsibilities

  • Answer general inquiry from prospective students and direct potential candidates to recruitment staff to follow up
  • Follow up with applicants on outstanding documents and assist them on application process
  • Assist admitted students on enrolment process
  • Provide regular update of admissions data/summary


Event Management Responsibilities

  • Manage all pre-event preparation and coordination: send out email invite to potential prospective students, confirm venue and event logistics with hotels, budgeting
  • Support events on-site: prepare and manage event materials, venue preparation, greeting and hosting of participants
  • Post event follow up: report and evaluate event performances to team and advertising agents, send follow-up emails to registrants
  • Arrange flight tickets, hotel and transportation for staff
  • Travel regularly internationally to provide on-site event support


MEASUREMENTS OF SUCCESS

  • Overall rate of efficiency, accuracy, timeliness, and organization
  • Positive working relationships with other team members in Hong Kong, London and Chicago
  • Ability to work efficiently with minimal direction
  • Ability to anticipate issues and problems
  • Successful completion of assigned tasks and projects according to the set timeline

KNOWLEDGE, SKILLS AND EXPERIENCE

  1. A graduate of diploma, associate degree or above
  2. At least five years of experience, preferably in higher education, administration, database management, hospitality and/or event management
  3. Good computer skills. Proficient with MS Office is a must
  4. Strong team player, meticulous, customer-service oriented, flexible
  5. Fluent in Cantonese and English. Good written skills in English and Chinese
  6. Willingness to work in the evenings and at weekends and travel occasionally
  7. The right to work legally in Hong Kong on a permanent basis is required


SALARY AND BENEFITS
The salary will be competitive and commensurate with experience. In addition to salary, Chicago Booth offers an attractive benefits package including 20 days holiday per year – prorated (excl. Hong Kong Public Holidays), MPF contribution, private medical and dental insurance, and life insurance.
