Job Description

This job is responsible for posting and managing our customer payments, in the forms of cash, checks and credit card transactions, into our accounting system and bank accounts. It is essential to the company’s healthy cash flow. In addition, this role is responsible for assisting in the company’s payable and month-end reconciliation duties. The person should be familiar and up to date with the accounting systems, procurement and expenses policies of the company.

  

Principal Accountabilities:

  • Securing revenue by verifying and posting receipts and resolving any discrepancies.
  • Review the company’s debtor aging report to ensure timely debt collections.
  • Prepare for Indonesia Tax Certificate and any other tax and vendor forms as per request.
  • Ensure prompt payment of invoices and staff expenses
  • Assist staff with payment inquires in Concur and payment policies
  • Reconciles processed work by verifying entries and comparing system reports to balances

 

Additional Job Information:

  • Posting cash transaction into our accounting system.
  • Handle credit card payments from customers. Arrange for phone calls to have their credit card information.
  • Co-ordinate with bank relationship manager regarding unknown payments
  • Performing bank reconciliations at month end. 
  • Investigating and resolving any irregularities or enquiries.
  • Weekly and monthly cash flow forecast and upload into Magnitude.
  • Prepare monthly ageing reports for different business groups, identifying long outstanding debtors for finance and business team awareness
  • Arrange meetings with business managers and management accountants to discuss the debt outstanding.
  • Provide appropriate suggestion if bad debt provision is required
  • Assemble, review and verify invoices and cheque request on Concur; clarify any unusual or questionable invoice/expense items or prices
  • Review and verify expenses on staff’s corporate card and process payment
  • Create, update and maintain suppliers’ information in various systems and staff and ensure due diligence assessment is performed on new suppliers
  • Prepare and process electronic transfers, cheque and credit card payments
  • Maintain accounting ledgers by verifying and posting account transactions.
  • Monthly debtors/creditors revaluation; prepare creditors aging reports, petty cash report and other month end closing schedules
  • Prepare / maintain cash flow forecast for payments and intra-bank transfers
  • Correspond with vendors and respond to inquiries to resolve invoice/expense discrepancies and issues.

 

Key Skills, Qualifications & Experience

  • A bachelor degree or equivalent experience
  • Excellent time management skills and ability to prioritize a demanding workload
  • Attention to detail
  • Proficiency in Excel and other accounting software (Concur, Info Q&A, Sun System, B4B)
  • Strong written, verbal and collaboration skills
