Job Description

Role:

The Administrative Assistant performs general clerical duties to include but not limited to: calls screening, photocopying, emailing mail distribution, filing, meeting and travel arrangements, etc. He/ she coordinates and maintains records and creates and modifies various documents.

Duties:

  • Performs administrative duties for Executive Management Members;
  • Screens and directs calls;
  • manages calendars, organizes and schedules appointments, take detailed minutes;
  • Makes travel, meetings and events arrangements;
  • Assists Executive Management members and sales in preparations of presentations, demos, quotes, Social media campaigns and other documents and materials preparation;
  • Writes and distributes email, correspondence memos, letters, faxes and forms;
  • Performs translations in Chinese;
  • Assists in preparing reports and financial data, and on the follow-up of account payable (AP);
  • Assists in the preparation of develop and maintains a filing system;
  • Updates and maintains office policies and procedures;
  • Orders office supplies and research new deals and suppliers;
  • Maintains contact lists;
  • Submits and reconcile expense reports, handles expenses re-billing in close collaboration with Senior Accountant;
  • Provides general support to visitors and Customers;
  • Act as the point of contact for internal and external clients. 

Skills & Requirements:

  • Diploma in Business Administration or related disciplines, additional qualification as an Administrative assistant or Secretary will be a plus;
  • 3+ years of hands on administrative support experience;
  • Proficiency in MS Word, MS Excel, MS Outlook, and MS PowerPoint in particular is a must;
  • Knowledge of operating standard office equipment;
  • Excellent time management skills and the ability to prioritize work;
  • Strong organizational skills with the ability to multi-task;
  • Strong problem solving skills;
  • Good research skills and attention to detail;
  • Excellent written and verbal communication skills
  • Fluency in English and Chinese is a must
