Job Description

 

Receptionist – Hong Kong 

UNStudio is an internationally-operated architectural firm with projects all over the world. Our project portfolio covers every aspect of architecture, ranging from small to large scale projects, research and theory. We strive to make a significant contribution to the discipline of architecture, to continue to develop our qualities with respect to design, technology, knowledge and management and to be a specialist in public network projects. UNStudio, which was founded by Ben van Berkel and Caroline Bos in 1988, currently employs 180 people across its three international offices, in which the average age is 34 years and our employee base is made up of about 28 different nationalities.

We are currently looking for a Receptionist to join our UNStudio Hong Kong office. The candidate will be responsible for daily administrative duties in our Hong Kong office.

 

Responsibilities:

The will support the daily administrative operations of the Hong Kong office through the following tasks:

  • Perform office administrative tasks and reception duties to ensure the office runs smoothly at all times
  • Provide professional guest reception, serve visitors by welcoming, greeting and directing them
  • Handle incoming calls and transfer calls to the appropriate team member promptly and efficiently
  • Sort and distribute incoming mails and manage couriers arrangement
  • Manage office inventory and purchase of office supplies and equipment as well as facilities maintenance
  • Maintain employee attendance and visitors’ records and produce reports
  • Keep work area clean and tidy on a constant basis
  • Schedule and monitor meeting appointments and manage meeting rooms
  • Arrange business trips and all related logistics, and maintain relevant records
  • Handle bookkeeping and petty cash (collecting and keeping daily payments and expensive related invoices, handling bank-related tasks, communicate with the accountant frequently to ensure information exchange on ongoing financial issues, etc.)
  • Assist in sustaining a good working atmosphere through the organizing of in-house staff social and educational activities
  • Assist in organizing company’s events and ad-hoc project as assigned
  • Provide additional administrative support to other teams as required

 

Qualifications:

  • College or above education, related working experience is preferred
  • Excellent communicator with strong people skills
  • Strong organizational and time management skills
  • Fluent in Cantonese (spoken and written)
  • Fluent in English (spoken and written)
  • Highly Professional, outgoing, and flexible with a service-oriented attitude
  • Works carefully with high sense of responsibility
  • Dedicated, efficient and diligent, who pays special attention to details
  • Courteous and willing to provide help
  • Proficiency in MS Word, Excel, English & Chinese Word processing

  • 履行行政前台工作以确保办公室平稳顺畅地运行

  • 为访客提供专业的接待安排,热情周到,正确引导

  • 高效及时地接听和转接电话

  • 处理收发邮递包裹和快件并及时派发

  • 办公文具及其他办公用品和物资的预算制定、采购安排、库存盘点及办公设备的维护保养

  • 考勤记录及报表制作

  • 确保办公室环境和卫生状态良好有序

  • 安排会议及管理会议室

  • 差旅安排及各项报表制作和维护

  • 负责日记账及备用金管理和相关财务支持工作,包括但不限于:收集保管日常费用支出相关凭证票据,处理银行相关日常事务,与财务保持紧密和及时的沟通以反馈财务状况等

  • 协助维护积极良好的公司氛围,组织安排公司活动

  • 领导安排的其他行政支持工作

 

任职资质: 

  • 相关专业本科或硕士以上学历,有相关经营者为佳

  • 出色的人际交往能力和沟通能力

  • 优秀的组织能力和时间管理能力

  • 出色的中英文表达能力(书面及口头)

  • 高度专业的能力和态度,善于沟通,具备服务精神

  • 具备极强的责任感

  • 专注、细致、高效、勤勉

  • 品行端正、礼貌谦和、乐于助人

  • 精通办公软件Word, Excel, PPT
