Job Description
Our client is an Investment Company and they are looking for a cheerful and presentable individual who could act as a receptionist for their company. The company offer a stable environment and friendly staff and has good all round remuneration package for the right candidate.
- Responsible for greeting investors, visitors, customers and contractors at the reception counter in a professional manner
- Responsible for handling company calls, courier service and fax at the reception counter.
- Handle and update room booking system and travel schedules records, and coordinate telecommunication and calls arrangement including conference call, video conference and required administrative support
- Responsible for office supplies, office facilities, office messing and cleanliness of office environment by working with tea lady including purchases and stock control
- Responsible for new starters and departing staff on administration arrangement and support including coordination with related departments, e.g IT, finance, etc.
- Maintain the company gift log
- Coordinate with company driver & tea lady on car booking and mail delivering/ banking arrangement
- Responsible for office maintenance including but not limited to office facilities, pest control etc
- Responsible for expenses request and reports with finance for invoices and payment arrangement including but not limited to company car petrol, flowering, cleaning, storage and stationary, tenancy and leases, conferencing/broadband/ courier invoices, etc.
- Expense report compilation for Company Driver and Tea Lady and the team
- Arrange company regular and ad hoc staff functions including but not limited to celebrations (bosses’ birthday lunch , quarterly birthdays and festival lunch)
- Arrange transportation between office and storage space when required
- Maintain newspapers and subscription
- Assist on filing the HR records
- Other office administration and HR administration support when required by the Company from time to time.
