Job Description

The Role

The Registrar shall be part of a team of registrars responsible for managing international shipping, domestic transportation, handling and inventory documentation of works of art for exhibitions, art fairs, projects, movement of inventory, and client requirements.

The Registrar shall liaise with and coordinate between the Hong Kong team, Perrotin’s global team, artists/artist studios, consignees, logistics companies, insurers and other relevant external parties such as art fair organisers and exhibition venues to ensure professional, safe and timely movement and material management of works of art.

Responsibilities

  • Prepare, monitor and manage shipping schedules and budgets;
  • Prepare and manage shipping lists, instructions and relevant documentation in accordance with the requirements of exhibition/art fair/project schedules and of international shipping, customs and tax regulations;
  • Coordinate, monitor and manage all tasks and matters related to insurance, condition inspection and reporting, packing/unpacking, crating/uncrating, entry/release, collection/delivery, installation/de-installation, and storage of works of art;
  • Conduct condition checks and prepare and file condition reports;
  • Update and maintain the gallery’s inventory database concerning location, transit, insurance, material condition and other relevant details about works of art;
  • Work closely with appointed insurers and logistics companies to ensure a professional standard of service for safeguarding the handling and transportation of works of art;
  • Prepare summaries on cost estimates related to shipping and insurance for both internal and external review and approval;
  • Monitor and record relevant expenses;
  • Ad-hoc duties or projects as assigned.

 

Requirements

  • A Diploma (minimum) or Bachelor’s Degree;
  • Minimum of 2 to 3 years of experience in fine art logistics with international art exhibitions organisations (gallery, auction house or museum) or relevant employers such as fine art shipping companies;
  • Proven experience in and knowledge of international art shipping processes and procedures, and international customs and tax regulations;
  • Good command of written and spoken English and Cantonese (a third language such as Chinese, Korean, Japanese or French would be an asset);
  • Highly organised and attentive-to-detail multi-tasker with excellent coordination and time management skills;
  • Professional work ethic and positive disposition;
  • Excellent communication and inter-personal skills (experience in customer service would be an asset);
  • Ability to thrive in a fast-pace work environment that is multicultural and spans multiple time zones;
  • Skilled in Microsoft Office and Mac operating system;
  • Right to reside in Hong Kong.
