Purpose:  

  • Provide HR operational and administrative support for the respective business units and own HR team to ensure efficient management and operation of the function on a day to day basis.
  • Partner with HR Business Partners, Talent and Rewards teams to support the delivery of services and programs, from an operational standpoint.

Key Responsibilities:

  • Provide administrative support to the HR Business Partners to deliver strategies, tactics and actions in alignment with the overall business goals and targets.
  • Build and maintain a close relationship with employees to ensure that business needs are taken into consideration in executing HR initiatives and HR standards.
  • Understand and provide information / explanation about HR initiatives, programs, policies and processes to employees.  Ensure they are fully understood by the different business units we support. 
  • Assist in the recruitment/ selection/ onboarding process of new talents for the organization.
  • Provide day-to-day HR support for employees in the support area, in partnership with Rewards and Talent teams as required.
  • Ensure HR daily operations are in compliance with policies and legal requirements.
  • Recommend updates and improvements to existing guidelines, policies and procedures in order to ensure HR services stay relevant with business/employees and are consistent with the standards of employment. 
  • Support HR Leaders on people insights by conducting analysis and findings. 
  • Maintain eHR systems on a timely basis and performs audits to ensure data accuracy.  Generate scheduled or ad hoc reports to assist management.
  • Prepare and maintain HR reporting to support organizational needs as required
  • Maintain a clean HR database structure (shared drive or any other forms of data storage) in compliance with applicable legal requirements.
  • Support projects and assignments as requested (including research and creating presentations).
  • Participate in planning and implementing employee relations and engagement initiatives.
  • Schedule and organize internal and external meetings, appointments and events. Consolidate agendas and prepare meeting documents, ensure necessary infrastructure is provided.
  • Responsible for tracking the follow up actions from HR Meetings.
  • Support the budgeting process and assist in updating and regular management of department cost centre.
  • Support the team on general administrative tasks, including but not limited to:Maintain department files, records, organization charts, subscriptions.
  • Act as key contact point for information management (e.g. intranet, workspace, share folders).   Ensure content of the intranet is up to date.
  • Coordinate travel arrangements and complete expense reimbursement process
  • Sort mailing and administer team email accounts,
  • Arrange office setups and moves, office equipment and supplies.
  • Assume other duties as assigned by management.

Advanced working knowledge in MS-Office applications (MS-Excel, Word, Outlook, PowerPoint) and HRIS (SAP)
Very good command of written and spoken English, an advantage with good Chinese  (Cantonese and Mandarin)
General knowledge of Hong Kong employment laws and practices

 

 

 

Requisite Education and Experience:

  • 3 years of experience in an HR administrative role
  • Experience in working in a matrix and fast paced organization. APAC regional exposure is a plus.
