Job Description

DEAN OF STUDENTS OFFICE

Senior Executive Officer (Ref. 19070502-E)

Duties

The appointee will be required to:

(a) assist in managing and overseeing the functions and duties of the Dean of Students Office and provide administrative support, such as collection and analysis of data, drafting/preparation of reports, proposals, publicity materials and other publications such as orientation materials;

(b) assist in overseeing the planning, coordination and operation of promotional and marketing activities,  institutional events / seminars / workshops / special projects of the Office and Centre STARS which are under the supervision of the Dean of Students;

(c) assist in reviewing and developing policies, guidelines and systems contributing to quality assurance and enhancement of the activities and services provided by the Office and Centre STARS;

(d) provide secretarial service to committees/working groups;

(e) liaise and coordinate with internal academic departments and non-academic offices/units of the University as well as external organizations on matters relating to student affairs and development; and

(f) perform any other duties as assigned by the Dean of Students or his/her delegates.

The appointee may be required to work outside normal office hours to attend meetings and/or events/activities, and travel occasionally to the Chinese Mainland and overseas for liaison/coordination functions.

Qualifications

Applicants should have:
 
(a) a recognised degree;

(b) at least eight years of solid post-qualification administrative and supervisory experience with a proven track record of competence in office and event management, preferably gained from tertiary education institutions;

(c) experience in budgetary planning and control and financial management;

(d) very good communication, interpersonal and leadership skills;

(e) very good command of both written and spoken English and Chinese, with fluency in Putonghua being an advantage;

(f) the quality of being a good team player, and the ability to work independently and under pressure to meet tight time-lines; and

(g) good computer literacy.

Shortlisted candidates will be invited to sit for a written language proficiency test.

Remuneration and Conditions of Service

A highly competitive remuneration package will be offered.  Initial appointment will be on a fixed-term gratuity-bearing contract.  Re-engagement thereafter is subject to mutual agreement.  Applicants should state their current and expected salary in the application.
