Job Description

Facility Manager / Operation Manager - Global Organization

Responsibilities:  

  • Plan, coordinate and execute matters related to facilities management for a mixed portfolio of office premises, industrial complex and residential properties (including leasing matters)
  • Acting as a project manager to direct, supervise, co-ordinate and manage outside consultants and contractors in office renovation projects
  • Prepare and keep track of annual capital and operation budget
  • Direct and plan essential central services including managing, preventive and maintenance services (e.g.: office space planning, layout and furniture replacement in HK and overseas branch offices, reception, janitorial and tea ladies, PABX system, AV system, waste management, meeting room management, mailing etc.)
  • Prepare and review contracts and tender documents including negotiations etc.
  • Manage, maintain and enhance ISO14001 and ISO 18001 systems, health and safety, fire safety, office security and periodic statutory testing and inspections, monitor ISO 26000 accreditation
  • Liaise with internal departments and suppliers / contractors for effective space management and provision of quality facilities services
  • Provide support to overseas offices related to facilities services or projects (including leasing matters)

Requirements: 

  • Bachelor Degree in facilities management / engineering / surveying / building services or related disciplines preferred
  • A minimum of 8 years’ proven experience in facilities management with at least 3 years in managerial level in sizable organisations
  • A developed knowledge of operational management of office buildings will be an advantage
  • Experience in ISO projects a definite advantage
  • Excellent project planning and management skills with track record in supervising major office renovations
  • Able to respond appropriately to emergencies or urgent issues as they arise, managing and leading change to ensure minimum disruption to core activities and plan for future development in line with strategic business objectives
  • Excellent communication and interpersonal skills with an ability to build rapport with team members and stakeholders 

Administration Manager - Global Organization

Responsibilities:  

  • Formulate, coordinate, streamline and implement office systems, master policies (including data management policy and insurance policy), procedures and regulations and to adjudicate the same, if necessary
  • Administer property and land related matters, such as purchase, sale and leasing of offices and other premises
  • Monitor the implementation of a travel management project
  • Budget management including budget forecast and controlling the budget of the Administration Department
  • Liaise and co-ordinate with Branch Offices on administrative matters
  • Prepare and review contracts and tender documents in the procurement of goods and services under the ambit of the Administration Department
  • Handle the procurement of company secretarial, trade marks registration and legal services and provide support related to legal documentations

Requirements: 

  • University degree with a minimum of 8 years’ proven experience at managerial level
  • Knowledge in legal and company secretary, travel services management, insurance including dealing with claims preferred
  • Excellent planning, management and information classification skills
  • Able to respond appropriately to urgent issues as they arise, managing and leading change to ensure minimum disruption to core activities and plan for future development in line with strategic business objectives
  • Excellent communication and interpersonal skills with an ability to build rapport with team members and stakeholders

 

Facility Manager  - ( Data Centre )

Responsibilities:  

  • Ensuring that facilities meet government regulations and environmental, health and security standards 
  • Advising businesses on increasing energy efficiency and cost-effectiveness 
  • Overseeing building projects, renovations or refurbishments 
  • Develops and maintains positive relationships with clients. Attends client meetings. 
  • Coordinates, oversees and/or manages repair and maintenance work assignments performed by technicians, vendors and contractors performing building maintenance, landscaping and janitorial work. Reviews work orders to ensure that assignments are completed. 
  • Responsible for facilities inspections and reports. 
  • Coordinates and manages moves, adds and change activities. 
  • Obtains and reviews price quotes for the procurement of parts, services, and labor for projects. 
  • Manages capital projects. Prepares capital project and operating budget and variance reports. 
  • Manages vendor relationships and trains vendors on work order and billing procedures. Responsible for invoice processing and accuracy of cost center coding. 

Requirements:

  • Bachelor Degree in Building Services, Electrical, Mechanical Engineering or equivalent

  • 8 – 15 years of related data centre operations management project or top commercial building property management
  • Strong organizational and analytical skills. 
  • Ability to provide efficient, timely, reliable and courteous service to customers. 
  • Good command of both written and spoken English and Chinese
