Job Description

Job Responsibilities:

  • Assists Training & Education Supervisor in confirming conference, seminar and webinar speakers.
  • Schedules and attends session planning calls with event speakers.
  • Collects presentations, bios and photos from speakers for use in webinars, marketing materials and on-site collateral; maintains speaker database.
  • Acts as project manager for conference mobile app; ensures all information is timely and accurate; liaises with marketing and meeting planning to coordinate promotion efforts and encourage attendee usage.
  • Acts as project manager for webinars; oversees webinar event setup; ensures attendee communications templates are accurate for each event; coordinates logistics among speakers, internal staff and platform vendor; monitors live broadcasts to answer audience questions and ensure the event runs smoothly.
  • Travels to events as needed to help manage speakers and logistics.
  • Manages attendee evaluation process for assigned events.
  • Oversees materials shipments from office to live events.
  • Serves a liaison between Customer Service and Accounting departments to process speaker registrations and travel expense reimbursements while maintaining speaker expense budget.
  • Tracks event logistics expenses.
  • Performs other general administrative duties as assigned.

 Job Requirements: 

  • Bachelor’s degree in Marketing, Communications, Hotel Management or related field.
  • 3+ years of relevant work experience.
  • Ability to demonstrate solid project management, organizational and written/oral communication skills.
  • Thorough and detail-oriented with the ability to work efficiently in a fast-paced environment and adhere to deadlines.
  • Advanced computer skills in Microsoft Word, Excel, PowerPoint and Outlook.
  • Ability and willingness to travel domestically and internationally on behalf of the company (10-20% travel).
  • Copywriting, editing and/or proofreading experience is a plus. 
  • Fluent English is a must (spoken and written), with an additional Asian language (e.g. Chinese, Japanese, Indonesian) is a plus.
