Job Description

JOB DESCRIPTION

  • Provide executive assistant to the Chairman, to manage his daily busy schedule; calendar and related arrangements;
  • Provide full range of secretarial & administrative support to Chairman/ Senior Management;
  • Coordinate local & overseas business-related activities, meetings, conference & travel arrangement;
  • Collect, co-ordinate and disseminate material for team meetings, preparing agenda and follow-up minutes;
  • To assist with writing the conference program, inviting speakers, liaising with speakers to ensure attendance;
  • Prepare and attend annual general meeting and council meetings throughout the year;
  • Assist to write to sponsorship targets associated with relevant events/activities;
  • Provide support for writing and compiling grant applications as advised by Chairman;
  • Develops and maintains effective and professional working relationships with all levels of staff within the company;
  • Other duties as assigned by management.

 

QUALIFICATION REQUIREMENTS

  • Diploma or above in Business Administration or any related disciplines in Professional Secretarial Studies;
  • At least 5 years of secretarial experience, candidates with less experience will be considered for Personal Assistant position;
  • Working experience with senior management level required;
  • Excellent team working skills with the ability to work collaboratively and co-operatively with colleagues;
  • Ability to organise and plan his/her own work;
  • Excellent interpersonal and communication skills, including the ability to ensure effective communication with a wide range of contacts both internal and external to the company;
  • Ability to assimilate large quantities of written and verbal communication quickly and produce accurate, timely minutes;
  • Excellent attention to detail, including proof reading skills, with the ability to maintain a high level of accuracy;
  • Ability to work well in a fast-paced environment and to meet tight deadlines;
  • A flexible, pro-active approach to work including the ability to prioritise and re-prioritise to achieve successful outcomes;
  • Ability to work on own initiative and under pressure;
  • Ability to deal with sensitive information with discretion and to maintain confidentiality at all times;
  • Excellent IT skills including working knowledge of word processing, spreadsheet and presentation software packages, preferably Microsoft Office Word, Chinese Word Processing, Excel and PowerPoint. Interactive/Social media.
