Job Description

RESPONSIBILITIES:

  1. Assist the handling of logistics operation:
  2. Upkeep merchandises information and data into the system, ensure accuracy and immediacy, according to that given by the commercial team. 
  3. Utilize the company’s software program to assign new product coding, issue PO to vendors, synchronize delivery process information, track and process inventory, etc.
  4. Arrange for shipment of merchandises to be on time and in good condition in response to Home Delivery orders, follow up on the delivery and inform commercial team.
  5. Update Master Record and revise PO in the system, when required, during the process.
  6. Liaise on product delivery with ISG warehouse, post product entry, advise client’s receiving warehouse or agent of packing list, expected time of arrival, carton numbers, booking number, product packing, arrange local transportation or forwarder.
  7. When shipment or delivery is completed, synchronize data into the system.
  8. For import items from overseas vendors, liaise with forwarder regarding collection of arrived shipment as soon as possible to save storage cost. For dutiable goods, arrange customs declaration by keying the information into HKG Import Declaration system of the local government authority. Inform warehouse supervisor for storage arrangement, inform the vendor and commercial team of safe arrival of goods. If goods are found damaged, arrange for shipment surveyance and report to vendor in less than 2 days, prepare documents on claim and arrange for goods return to overseas vendor.
  9. Regarding export shipment to overseas client (airline), liaise with client on product and delivery details for client to arrange relevant AWB and arrival customs papers. Complete HKG Export Declaration procedures, including taking photos, classifying the products and cartons identification, listing the product values, etc.
  10. Assist on special packaging of merchandises (such as for L’Occitane, PAL/ANA airlines, etc.) as required.
  11. Ensure smoothness of logistics operation flow and keep the costs as low as possible.
  12. Ensure company’s requirements on shipping activities are adhered by vendors and forwarders. Review all shipping documents to ensure accurate and on time submission including import and overseas export documents and necessary bank documents.
  13. Ensure defective goods are well handled and assisted coordinating with vendors on defective items repair, hence facilitating return or goods replacement to customers.
  14. Handle the delisted products well and arrange goods return, if required.
  15. Arrange delivery of products for client’s Staff Sales functions, as well as for company Staff Sales per quarter within the company.
  16. Coordinate with commercial teams, vendors and forwarders to ensure on-time shipment/delivery and keep them closely updated on the delivery process and completion.
  17. Communicate with vendors and commercial teams on clarifying customs related issues, import regulations and shipping issues to them, especially on dutiable and dangerous items, such as tobacco and alcoholic.
  18. Liaise with and support Finance dept on their daily inquiries to ensure clarity of billings.
  19. Prepare regular reports, such as monthly Stock Report to commercial teams, and sorted for various clients (airlines), Return Item List, Goods Transfer List, Defective Items Report, Staff Sales delivery report, Delisted Products Report, etc. to management.
  20. Assist the supervisor with any malfunctions in the distribution process, and generate reports to supervisor for review.
  21. Support and assist on annual stock check led by Finance Dept.
  22. Support, cooperate and liaise with IT Department regarding IT system modification.
  23. Exhibit support to the department’s value in providing efficient and effective services to other departments. Pursue personal development training to develop yourself for higher job performance and responsibility.
  24. Ethics and Fraud prevention - Exhibit the highest level of ethics in performing the business transactions and relationships.  Report any irregular behavior and/or occurrence to the Director or MD immediately. 
  25. Be aware of corporate social responsibility perspective in the logistics process, to see if warehousing operation and equipment and forwarders operation assist reduction of greenhouse emissions for environmental saving. Support the company’s social participation to gain corporate social responsibility image for the company.
  26. Respond efficiently and courteously to internal customers’ requests.  Report to the Manager on any issues, special requests and complaints from internal and/or external customers. 
  27. Assist your department and working team(s) in its day to day operations, annual functions and be flexibly responsive to any ad hoc duties or other duties that may be assigned.
  28. In neat and tidy, decent work attire and business etiquette that represents a good company’s image.
  29. Protect company’s properties, including office equipment, tools and documentation.
  30. Perform your duties in compliance with Company’s policies and operational procedures.

Requirements:

  • Experience
    • At least 3 years of experience in a logistics department.
    • Previous experience in luxury goods retailing industry would be an asset.
  • Education
    • Degree or tertiary education major in Business Administration / management, Purchasing Management, Public Administration or related discipline.
  • Personal Attributes
    • Recognized ability to work under pressure, handle stressful situations and maintain flexibility.
    • Good interpersonal skills in proactively communicating with employees and dealing with customers with professionalism and care.
    • General personal attributes such as hardworking, responsible and accountable, well organized, efficient and having a positive attitude are expected.
    • Possess professional maturity, coupled with high ethical standards.
  • IT Skills
    • Excellent PC literacy i.e. hands-on experience of MS Word and Excel.
  • Language Abilities
    • Fluent English, Cantonese and Putonghua for both verbal and written communication, is also required.
