Job Description


The Records Manager provides the guidance, tools, compliance, and retention parameters to support the operational needs of the internal records management program within the region.  This role is the primary interface for MMC and businesses regarding records management policy, processes, contacts, best practices, etc. The person in this role contributes to the continuing development and maintenance of Marsh & McLennan Companies records management program. 

  1. Accountable for the strategy development management, coordination and administration of the Document Management Program
  2. Provide Senior supplier management to include but not limited to ensure delivery of seamless and efficient services, optimization in respect of quality, cost and timeliness; ensuring compliance to policy, process and service levels with clients and vendors; monitoring performance and driving efficiency improvements and cost reduction/optimization

 

 

Key Responsibilities

  • Responsible for identifying and mitigating areas of both commercial and operational risk. Developing and implementing the information and records management operational standards, guidelines, templates and procedures within Company policies, and relevant legislation and regulations.
  • Liaise with Global Records Manager, Risk and Compliance and legal to ensure policies and procedures are up to date and consistently applied
  • Support and enforce policies and procedures with the Businesses, acting as escalation point for major non-compliance issues
  • Develop a disposal and data remediation strategy with stakeholder groups
  • Align paper records service with wider business strategies and priorities
  • Set expectations for outsourced storage provider service and monitor performance of various supplier relations, including remote 3rd party vendors, attending performance review meetings.
  • Providing expertise on established classifications and taxonomies and catalogues of the company's activities for inclusion in systems while maintaining the highest level of accuracy
  • Providing ongoing training, technical and user support to assist staff meet record keeping obligations and the effective use of records management systems
  • Lead and monitor the enhancement, and manage the maintenance of the centralized records management software where applicable

 

Skills & Experience

  • Minimum 5 years of relevant experience in records information management field, in vendor management and records management
  • Knowledge and understanding of Regulatory and Legal Retention Schedules in relation to Document Management, including privacy issues and evolving practice in Records Information Management
  • An advanced level of knowledge in the use and operations of active/inactive information management systems.
  • Experience of leading the development of strategy and successful production of strategic and operational plans for records management.
  • Broad experience in working with both internal and external partners and understanding and overcome some of the challenges this can create. 
  • Proven ability to recommend and implement appropriate classification and retention programs
  • Experience-based records management application design skills, with specialized skills to determine the metadata necessary for records authentication and retrieval
  • Experience in providing leadership to a matrix managed team with a clear focus on outcomes, excellent communication and interpersonal skills
  • Proven ability in understanding, anticipating and providing both tactical and strategic solutions that deliver to the short and long term needs of the business.
  • Capable of determining and evaluating service quality and identifying opportunities to achieve efficiencies, best value and/or cost reduction.
  • Ability to implement and performance manage supplier contracts.
