Job Description

The GIG

Ovolo Group is on the lookout for a “switched-on” Personal Assistant to our CEO & Founder to take responsibility for all aspects of high-level, confidential personal support to the office of the CEO and his family. The ideal candidate has an extensive experience working for an entrepreneurial CEO providing personal support while experience in executive level support is highly desirable. You will be responsible to organize travels and prepare travel itineraries, experience in direct booking with airlines will be a definite advantage.

The key to this position is being entirely flexible about your duties and being able to adapt and multitask with regard to the CEO’s schedule. Job Duties

  • Provide full spectrum of secretarial and administrative support to CEO including drafting documents, letters and reports where appropriate
  • Manage & organize travel arrangement for business or leisure trips, including flights, hotel & accommodation and itinerary planning
  • Calendar management, schedule appointments
  • Organizing and maintaining executive's files, records and other materials
  • Handle and answer calls/email and daily correspondence
  • Liaising with internal and external staff and business partner
  • Lead and supervise administration team to provide professional office administration services
  • Work closely with management teams across local and overseas operating entities
  • Support ad-hoc projects when required       

Requirements:

If you have 

  • Minimum 5 years of relevant experience working for an Entrepreneur/Founder in secretarial and executive level support (Experience in executive support is highly preferred)
  • Excellent command in English, both spoken and written
  • Proficiency in MS Office applications (essential)
  • A strong ability in multi-tasking, resilience and adaptability
  • Outstanding communication, interpersonal skills and flexibility at work
  • A cheerful personality and a good sense of humor
  • The willingness to roll up your sleeves and get your hands dirty
