Job Description

Job Duties

  • Answer telephone enquiries on the designated Government vaccination schemes and perform other duties as described below.
  • Handle all incoming correspondence including written enquiries, complaints and/or referral cases from other service units of the Department of Health.  They should assist to prepare a reply normally within three working days upon receipt of the enquiries, complaint and/or referral cases.  For complicated within two weeks or within a timeframe which is considered reasonable by the Government Representative and the enquirers/ complainants should be informed of the progress of the case within seven calendar days from the date of receipt of the case.
  • Process the applications from private doctors for enrolment to the designated Government vaccination schemes and supervise the work of PCSAs in processing these applications.  The enrolment process for each application should be completed within two weeks.
  • Check and confirm the correct updating of the service fee done by PCSAs within the same working day.
  • Compile daily statistics reports on figures generated by the Government’s computer system and internal databases.
  • Assist in providing administrative support to staff of the Vaccination Office to conduct around six to eight briefing sessions to stakeholders of the designated Government vaccination schemes, including but not limited to, sending invitation letters to about 15,750 targeted audiences, setting up the venue for the briefing session, assisting in floor management duties such as acting as ushers during the briefing sessions, distributing briefing materials, providing on-site assistance such as passing microphone to about 200 attendees per session, recording the questions and answers during the Question and Answer Session, clearing the venue and drafting evaluation reports for the briefing sessions.
  • Provide necessary follow up actions on the questions and/or comments made in the Question and Answer Session of the briefing sessions.  All necessary follow up actions should be completed within two weeks.
  • Pack and issue around 4,350 welcome packs to enrolled doctors within 3 weeks.  The welcome pack is of A4 size containing vaccination record cards, consent forms, pamphlets, posters and other scheme materials, etc.
  • Handle the orders for vaccine from about 1,100 Residential Care Homes (RCHs) and Designated Institutions serving Persons with Intellectual Disability (Dis), and coordinate the necessary logistics and all related issues for each order within two working days.
  • Handle and process the applications from the private doctors enrolled in the Government vaccination programmes for reimbursement claims through the Government’s computer system and to provide necessary assistance to the enrolled doctors.  Upon receipt of requests from the enrolled doctors, PCSOs are required to record them in a register and open a case file for each request for follow-up actions, including but not limited to, contacting the enrolled doctors and the clinic staff to understand and address their problems in submission of reimbursement claims through the Government’s computer system; contacting the vaccine recipients or officers in charge of RCHs and Dis to verify the information of the identity document and ascertain whether vaccination service had been provided. Upon completion of a case, PCSOs are required to consolidate and collate relevant information, submit the case to the Government Representative for further action and update the register.
  • Conduct inspection visits to RCHs, Dis or clinics of the private doctors to collect/gather necessary information as instructed by the Government Representative.
  • Follow the instructions given by the Government Representative or carry out any other duties related to clerical support services assigned by the Government Representative.

Requirement

  • HKDSE or above
  • At leave 1 years working experiences
  • More experiences will be consider as Officer
  • Working experiences in health or public sector if preferred
  • English typing 35 words per minute and Chinese Typing 25 words per minute (倉頡 or 速成 Input method)
  • Have good knowledge of computer program application including Microsoft word, excel, preferably Access and PowerPoint,
  • Be able to speak in English and fluent Cantonese, preferably be able to speak Putonghua.
  • Self-motived and have good communication and interpersonal skills.
