Job Description:

• Provide full spectrum of secretarial, business support and administrative support to Senior Executives and the department.
• Assist to submit FRR report and other business reports to Compliance Department, update Company information in the SFC Online Portal, to coordinate with Compliance Department about SFC License’s application and maintenance matters.
• Keep and maintain Department’s project documents including but not limited to mandate, service agreement, confidentiality agreement, etc.
• Keep and record the Department’s income and expenditure information and coordinate with Finance Department when necessary.
• Draft and prepare various reports including Management’s meetings reports, Compliance related reports, assessment reports, reports to Headquarters, and other ad hoc reports as required.
• Handle billings, invoices and expenses claims
• Make and line up interviews, business meeting appointment arrangements.
• Make travel, meeting, and diary arrangements
• Coordinate with internal departments and external parties
• Handle administrative tasks such as update of Operational Manual, meeting minutes, stationery and name cards ordering, regularly back up electronic files, etc.
• Maintain and update department databank
• Assist in other administrative tasks and other ad hoc tasks and projects as required from time to time.

Requirements:

• High diploma holder or above.
• 8-10 years‘ business support, administrative, secretarial experience.
• Preferably with Chinese Investment Banking or Professional Firm experience.
• Possess multitasking ability, well-organized, attentive to details with “can-do attitude, strong sense of responsibility and able to work independently in a dynamic environment.
• Good command of written and spoken Mandarin, English and Cantonese.
• Proficient in PC skills such as MS Office (Word, Excel and PowerPoint) and Chinese typing and word processing.
