Job Description

This is a contract position beginning 20 April 2020 to 30 June 2021 with the possibility of ongoing.

The Office Manager will work with the Principal and Vice Principal, to oversee the school operations including finance and Human Resources. We are looking for someone who is highly competent and hard working with proven expertise in leading and working in a team. The successful candidate will perform job duties in the following sections:

Finance

  • Manage the school’s allocated budget and budgeting process
  • Manage the school’s resources within delegated authority and budget
  • Manage the school assets and asset register
  • Manage the procurement procedures ensuring compliance with ESF policy
  • Manage the accounts of school activities

Administration/Operational

  • Act as the initial contact for all issues related to the office and support staff team
  • Manage and monitor daily operation of the office/support staff team to ensure resources are utilized effectively and efficiently.
  • Provide team support in building and facilities projects and events on the school premises.
  • Manage the school’s site and buildings including maintenance and security
  • Manage the hiring of school facilities
  • Oversee the management and updating of students’ files

Human Resources

  • Manage staffing matters including recruitment and contract preparation
  • Assist in managing the supply cover (teachers and EAs)
  • Assist with managing volunteers and work placement students in JCSRS
  • Manage the monthly iTimesheet inputs and HR reports
  • Manage EAccess for all school staff members

School Council

  • Arrange schedules and documents for school council and committee meetings
  • Arrange venues for council and committee meetings
  • Attend meetings and take minutes
  • Organise catering for functions and meetings, when required.

Requirements

  • University degree, preferably in business administration or general management.
  • 5 to 10 years relevant experience

Skills and Abilities

  • Good team player
  • Highly flexible and proactive to manage a variety of tasks
  • Excellent oral and written communication skills in English
  • Proficiency in speaking Cantonese an advantage
  • Good IT skills including word processing, database and spreadsheet skills
  • Strong organisational skills
  • Data handling and privacy regulations
  • Ability to work under pressure
