Job Description

JOB SUMMARY

The GRAPHISOFT Finance & Operations Executive is to work with the Finance & Operations Manager to ensure compliance and effective financial and company management, including performing local GAAP accounting, IFRS accounting, taxation and financial reporting tasks of GRAPHISOFT offices in Asia region in an accurate and well-organized way and to keep transparent, informative financial records as a member of the GRAPHISOFT Finance team.


The GRAPHISOFT Finance & Operation Executive is also to provide the administrative back-office support for the sales activities within GRAPHISOFT Hong Kong and by this way contributing to the success of the sales processes. He/she is expected to be proactive and independent in his/her role and to perform according to the relevant Company guidelines and other policies. All roles and responsibilities listed hereinafter are to be carried out for GRAPHISOFT offices in Asia region.


MAIN DUTIES & RESPONSIBILITIES


Financial Management

  • Regular bookkeeping tasks:
    • Recording of incoming invoices, fixed asset transactions, cash and bank, taxes and contributions.
    • Professional handling of accounting documents.
    • Accounting and settlement of travel expenses, given advances and out of pocket expenses.
    • Development and booking of accounting estimations for allowances, impairments, provisions, accruals and deferrals.
       
  • Reporting and control tasks: 
    • Provision of effective financial information flow coordinating with other organizational departments within GRAPHISOFT offices in Asia region.
    • Closing works on monthly and yearly accounts, timely and accurate preparation of the statutory financial statements.
    • Preparation and evaluation of related reports.
    • Manage external, internal and tax audits.
    • Regular balance reconciliation with customers and suppliers.          
    • Provision of the integrity of sub-ledgers and general ledger.
    • Regular reconciliation of suspense accounts.

  • Financial tasks: 
    • Preparation of cash flow reports and forecasts,monitoring financial liquidity.
    • Regular review and update of the credit limits of partners to ensure Receivable risk is properly mitigated.
    • Analysis of receivable balances, working out suggestions.
    • Communication and setting of customer credit limits.
    • Registration of the purchase invoices,checking for approval for payment.
    • Preparation of batch packages for payment approval and bank transfers.

 
Operations

  • General:
    • Ensuring each customer (external and internal) to provide excellent customer service
    • Coordination, prioritize, and scheduling requests from partners and GRAPHISOFT direct sales managers
    • Ensuring customer/project files are organized as per company policy
       
  • Sales Operations: 
    • Manage and maintain database for direct sales
    • Processing purhase orders in accurate and timely manner in GSPOS for GS channel and direct sales activities
    • Invoicing for material, license and SSA orders to direct sales customers and Channel Partners
    • Monitor progress against due date of payments
    • Prepare Aging Reports
    • Manage cash collection

Other Duties and Tasks 

  • Coordinating the travel reimbursement process and the required approvals.
  • Perform day-to-day office administration support such as pantry and stationery.
  • Other duties may be assigned in relation to the offered position


JOB REQUIREMENTS

  • Bachelor’s degree in business administration, Accounting or Finance.
  • 3-4 years of experience is essential at accounting, bookkeeping or financial audit.
  • Experience with integrated financial systems could be an advantage; good command of Excel is a must.
  • High command in English language, including financial terminology.
