What awaits you …

  • Assist CEO with daily administrative duties that include managing an active calendar of appointments; completing expense reports; composing and preparing correspondence; arranging complex and detailed travel plans, itineraries and agendas and compiling documents for meetings
  • Act as the point of contact among executives, employees, clients and other external partners
  • Help plan and co-ordinate office/company’s activities and be responsible for the entire process by communicating necessary actions and best practices to ensure the activities are run in an effective and efficient manner
  • Act as Office Manager overseeing office administration and work closely with Office Assistant to ensure the office operation is smoothly run
  • Conduct daily inspection of the office, and before the office closes, to ensure that all common areas, meeting spaces, conference rooms, kitchen, and storage areas are clean and organized at all times
  • Design and implement office policies by establishing standards and procedures, measuring results against standards, making necessary adjustments
  • Ensure adequate administrative support to cover for absences and peaks in workload
  • Partner with Human Resources to support onboarding process and maintain office policies as necessary
  • Maintain an effective and good working relationship with external vendors/contractors and co-ordinate various work related projects under timely manner
  • Liaise and negotiate with vendors and contractors on office move or renovation, insurance, office lease and maintenance
  • Keep track on office expenditure and manage the budget plan
  • Participate in ad-hoc projects as assigned

 

What you should bring with you …

 

  • University graduated in Marketing, Business Administration or related discipline
  • Min 8 to 10 years’ relevant experience in supporting Senior Management, preferably in small to medium size MNC and/or fast moving agency environment
  • Proven office management/administrative experience
  • Outspoken, cheerful and good team player
  • Self motivated, be able work independently with minimal supervision
  • Strong organizational and time management skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail
  • Excellent diary management skills with the ability to cope with multiple changing schedules
  • Good team leader and be able to provide clear direction and guidance to junior team members
  • Strong oral and written communication skills, able to communicate effectively with employees and external parties at levels
  • Creative and social media savvy, able to keep abreast of market trends
  • Proficiency in MS Office, Word, Excel and PowerPoint, Chinese Word Processing is a bonus
  • Proficiency in English and Chinese including good command of Mandarin
