We are currently looking for a Receptionist to join the team in our Hong Kong office, who can provide reception, administrative, and project support to executives and support staff of Duff & Phelps.

Responsibilities:

  • Greeting guests in a friendly and courteous manner and providing refreshments as required
  • Providing telephone coverage, assisting callers and conveying detailed messages
  • Booking and maintaining Outlook Calendar diaries for Board Room and Huddle Rooms, and arrange meeting set-up
  • House-keeping of Board Room and Huddle Rooms to ensure they are kept tidy at all times
  • Maintaining marketing materials in the front of house section
  • General office responsibilities including filing, faxing, photocopying, scanning, processing and distributing mail, messenger packages, and express mail packages
  • Check printers, fax machines and office equipment daily, re-stock with paper and notify proper personnel if maintenance is needed
  • Maintaining and ordering office supplies, kitchen supplies, and business stationery for office e.g., toner cartridge, printing name card/letterhead
  • Handling all office facility requests and maintaining general office appearance
  • Handling all office security cards
  • Assisting with time and expense reports when necessary
  • Communication with building management office and handling its requirements
  • Magazine, newspapers and Corporate Membership subscriptions
  • Coordinate with service providers of office Tel system
  • Coordinate with corporate headquarter on IT matters
  • Collaborate with administrators to assist in Marketing related matters e.g. updating of marketing database, mass mailing of corporate brochures and organize company functions e.g., staff activities, cocktail, marketing event, training, outings
  • To assist in/back up staff’s travel/hotel arrangement
  • Lunch roaster necessary subject to business needs Additional responsibilities as needed

Requirements:

  • Minimum of two years of relevant administrative experience
  • Knowledge of Microsoft Word, Excel, PowerPoint and Outlook
  • Ability to work in a fast-paced, deadline-sensitive environment
  • Proven ability to effectively prioritize multiple tasks within a group environment
  • Ability to accept direction and additional responsibilities from managers and/or staff supervisor
  • Ability to work as part of a team
  • Convey a positive and professional attitude towards staff members, clients and vendors
  • Punctuality required and overtime hours as necessary 
  • Good communication skills
