Job Description

The Firm

A sizable and well-established international law firm with a spacious and renovative office in Central is seeking for an experienced and dedicated talent to assist in the facilities and operations work of Hong Kong office.

The Opportunity

Reporting to the COO of Greater China, you will be working independently on 3 aspects including general office admin and facilities work, regional administrative projects as well as company events organization. The major duties will include but not limited to: -

  • Supervising a team of 5-6 including Receptionist, Admin Assistant, Tea Lady and Office Assistants to ensure the daily operations are smooth
  • Managing the front desk and mail staff’s workflow plus planning their work roaster and approval holidays
  • Handling all internal moves and space planning
  • Answering the enquiries and handling the complaints from lawyers and legal secretaries on the office equipment / facilities and manpower arrangement
  • Liaising with various vendors and office suppliers on facilities maintenance and procurement work
  • Reviewing all vendor terms and conditions and handling the negotiation
  • Handling travel booking for the COO and setting up the internal meetings / tele- conferences
  • Preparing various management reports including budgeting
  • Organizing company various events such as Christmas Party, Annual Dinner, Charity Walk and CPD training by booking venue, arranging manpower for on-site support, catering ordering and other logistics arrangement
  • Assisting in ad hoc administrative projects such as security system upgrade and office renovation
  • Closely working with HR on hiring the junior business supporting staff
  • Ad hoc administrative tasks assigned by the COO

The Ideal Candidate

The successful candidate should have the following requirements:

  • Degree holder with outstanding spoken and written English is a MUST
  • Overseas educated candidates are highly welcome
  • At least 5 years solid working experience in office administration and operations work will be required
  • Welcome candidates on officer / executive levels who would like to step up to managerial grade
  • Candidates with law firms background will be considered first
  • Good team player with pleasant, responsible and detail minded character
