Job Description

Purpose of the Job:

Report to the General Manager, the incumbent will oversee the general office management and procurement for our logistics office and warehouses, collaborate with different internal departments and liaise with external vendors to ensure an efficient office operation.

Responsibilities:
  • Work in a small team to handle full spectrum of office administration and facilities management service for our general office and warehouses, such as office supplies, conference facilities, repair and maintenance, office relocation & renovation, office leasing and tenancy etc.
  • Coordinate and monitor end-to-end procurement process, from vendor sourcing and management, quotation, offer negotiation, to invoicing and record keeping. Ensure timely payment and receipt of goods.
  • Collaborate with different departments to understand their needs to ensure a smooth running of the office and business operation
  • Ensure office equipment and supplies are maintained at optimal level and in good conditions
  • Budget planning and control of office management function
  • Establish, review and implement office management policies and procedures and manage internal communications
  • Support staff reimbursement, leave management and attendance record tracking
  • Assist to organise and support company events and activities
  • Perform ad hoc tasks as assigned

Requirements:

  • Degree holder with at least 8 years’ relevant experience in office administration
  • Experience in logistics industry is an advantage
  • Strong communication and negotiation skill, detail-minded and multi-tasking
  • Strong organisation skill with good customer service mindset, able to collaborate with internal customers and external vendors
  • Good command of both English and Chinese
  • Proficient in MS Office (Microsoft Word, Excel and PowerPoint etc.)
  • Candidates with less experience will be considered for Assistant Administration Manager
