Job Description

Key roles and responsibilities of the Property Manager (On-Site) are to carry out the daily duties at a portfolio of properties you are assigned to, including commercial and residential buildings. 


ESSENTIAL DUTIES 
 

  • Oversee the Building’s daily operation including security, cleaning, repair and maintenance, and festive decoration arrangements. 
  • Planning, organizing, supervising all management duties for the Building in  order to maintain a high standard. 
  • Carry out those policies and instructions as directed by the Head Office,  and disseminated them to subordinates as and when required;
  • Assist in drafting and amending of operation manual whenever appropriate 
  • Prepare, review and update work instructions from time to time. 
  • According to the actual situation of the Building, make recommendation to Head Office for areas of improvement (e.g. staff quality, building facilities, decoration etc.) 
  • Assist in preparing annual building management budget and capital expenditure budget; 
  • Assist in the preparation of tender documents for improvement work, and invite quotation for regular maintenance.  
  • Assist the Head Office as required in recruitment procedure.  
  • Enforce House Rules and Fit Out Guide of the Building. 
  • Liaise with tenants and contractors on fit out work, monitor and report irregularity during fitting out period. 
  • Prepare and submit operational reports on a regular basis. 
  • Handling tenants’ service request and complaints and attend the Building in emergency situations. 
  • Conduct regular meeting with shift ICs for better communication and problem solving; 
  • Together with the Head Office, organize staff training to enhance their management knowledge and skills. 
  • Certify payment before submission to Head Office.  
  • Together with Head Office, conduct staff appraisal, summarized report for the previous year and make recommendation for promotion and training development if appropriate. 
  • Carry out regular check to different postings.  
  • Conduct night surprise check at least on a bi-monthly basis. 
  • Reinforce staff performance and discipline, to ensure that they suit the Building’s actual requirement. 
  • Together with Head Office, conduct regular visits to tenants to understand their needs and requirements. 
  • In consultation with the technical team and Head Office, prepare annual maintenance plan for the Building’s facilities. 
  • Review Building’s maintenance contracts on a regular basis, and ensure that contractors perform according to the terms.

REQUIREMENTS

  • Tertiary education or above, education in property/ housing management field a definite advantage 
  • Minimum 7 years experience in property management, previous experience in managing high-end residential building is preferred 
  • Well versed in Building Management Ordinance 
  • Familiar with MS Office, Outlook   
  • Good communication and effective interpersonal skills Fluent in spoken and written in English and Chinese
