Job Description

  • Lead and supervise a team of personal assistants and secretaries to provide full spectrum of quality secretarial support to Senior Executives
  • Oversee daily operations including but not limited to diary management, meeting and conference arrangement, overseas travel & accommodation arrangement,  preparing meeting agendas / minutes taking and filing, handling general enquiries from internal and external clients / professional authorities, etc.
  • Assist the Senior Executives in maintaining good relations with business partners, developing new business opportunities
  • Liaise and coordinate with various business unit heads to report to management on the progress of corporate projects and assist to monitor the accomplishment of objectives and targets
  • Participate in event planning, coordination of guests meeting and social functions
  • Organize and facilitate board and board committees’ meetings as well as meetings of the key business units; ensure the smooth running of executives functions and activities
  • Manage the team to maintain filing system, including the filing and storage of confidential documents
  • Other ad-hoc tasks assigned by Senior Executives
  • Provide guidance to the team and ensure sufficient support to senior executives and adequate cover within the team

Requirements

  • Degree holder or non-Degree Tertiary education, business administration/public relations related discipline will be an advantage;
  • 15 years relevant working experience; in which 3 years relevant supervisory working experience;
  • Strong leadership, Excellent communication and interpersonal skills with initiative, self-motivated and proactively managed
  • Good ethics, mature and professional;
  • Attention to detail, fast pace and strong organizations skills are must;
  • Good command in MS applications or other related tools;
  • Good work references from previous employers are strongly desirable;
  • Fluency in both English and Chinese (Cantonese and Mandarin), written and verbal, are important.
