Job Description

Job Responsibilities:

Administrative and logistic support

  • General administrative duties including invoicing, meeting arrangement, calendar updates for HR Wellness team.

Nursing and Wellness facilities management

  • Manage the nursing and wellness facilities across Asia Pacific;
  • Monitor usage and provide regular report to the manager;
  • Develop SOP around booking and usage;
  • Work closely with stakeholder to ensure the facilities and the equipment is functional and tidy;
  • Manage usage conflict.

Pandemic medical supplies management

  • Part of team reviewing and managing onsite medical supplies;
  • Arrange disposal/restock as needed;
  • Provide year end budget of medical supplies;
  • Liaise with vendors on purchase of replacement supplies.

Health check-up coordination

  • Work closely with Health Services team to identify suitable health check providers;
  • Arrange contract with suitable providers;
  • Prepare communication/marketing materials on health check-up;
  • Monitor usage;
  • Process invoices and claims;
  • Prepare summary of abnormal results and report to the Occupational Health team.

Other ad-hoc projects

  • Event management including onsite flu vaccination program;
  • Arrangement of meeting rooms and zoom links for virtual programs;
  • Other adhoc events and tasks as required.

Job Requirements:

  • Degree holder, preferably in business administration, human resources or related discipline;
  • With at least 3 years relevant experience;
  • Fluent in English and Chinese (written and spoken), good command of Mandarin required.  Additional languages will be an asset;
  • Self-motivated with attention to detail, good organizational skills, ability to work independently and under tight schedules;
  • Excellent interpersonal and communication skills;
  • Proficient in MS Office tools (Excel, Powerpoint, Word).  Experience in using web-meeting, Citrix, etc. will be an asset;
  • Completed Covid-19 vaccination is a must.
