Job Description

The role:

As the Assistant Shipping and Logistics Manager, you’ll plan and implement shipments and logistics for selling/non-selling exhibition and special event in the office and offsite locations, for all categories of property including but not limited to fine art, jewelleries and watches. You’ll work closely with Shipping and Logistics Manager to support department on projects, supplier management, KPI reporting, drive continuous process improvement and various administrative tasks.

Key responsibilities (Not limited to the following):

• Collaborate with Shipping and Logistics Manager, Touring Manager, specialist departments and regional offices to plan and put in place smooth and cost-effective logistics with meeting business needs and budget.
• Work closely with peer to plan and implement the international shipments and local logistics for selling/non-selling exhibitions and special events.
• Responsible to prepare all necessary paperwork for exhibition shipment and hand carry, i.e. permit application, ATA carnet, temporary import bond, customs bonded paper etc.
• Ensure high accuracy of information on paperwork and timely application of permit and necessary paperwork.
• Demonstrate strong knowledge and familiarities of import and export customs formalities and document requirement for exhibition shipments for fine art and luxury goods.
• Monitor the progress of touring shipments and deliveries, conferring with suppliers to troubleshoot and rectify problems in a timely manner and ensuring that interested parties are apprised of the status of the shipment.
• Support Shipping and Logistics Manager to manage overseas properties being transferred between HK and overseas sale sites, including overseas purchases being transferred to HK, consignment to ship from HK to overseas sales etc.
• Ensure all import/export declarations are timely submitted to HK Authority.
• Maintain and scan all required documentation associated with shipments in accordance with department procedures.
• Ensure Purchase Orders for shipping and logistics related charges are produced in a timely manner. 
• Ensure JDE system is updated promptly to reflect the status of property movement.
• Support Christie’s exhibitions and other special events in the office and off-site locations in all areas as required by the business.
• Support any projects or company’s directives as assigned by the manager.
• Support to provide KPI reports and shipping data analysis.

Qualification Requirements:
• Bachelor’s degree (Logistics and Supply Chain related is preferred) with 3-5 years of industry experience
• Effective verbal and written English and Chinese (including Mandarin)
• Strong knowledge and familiarities of import and export customs formalities, regulatory compliance and document requirement for exhibition shipments for fine art and luxury goods.
• Strong organizational abilities, interpersonal and problem-solving skills
• Excellent communication and interpersonal skills; demonstrated ability to communicate with all organizational levels
• Good presentation and data analysis skills
• Ability to multi-task and work in a fast-paced and dynamic environment are a must
• Exceptional organizational skills to set priorities, multitask and meet deadlines
• Proficiency in Microsoft Offices skills
• Prior experience with ERP system (e.g. JDE, Workday) is an advantage
• Flexibility to work overtime and weekend hours when necessary is required
• Business travel to support overseas previews may be required on occasion
