Our client is an International UK law firm with core specialization in corporate, commercial litigation and arbitration, employment and pensions, finance, marine and international trade and real estate.

Human Resources Assistant

Being part of the Global HR and L&D team of 40 people, you will support in carrying out appropriate HR initiatives, providing HR guidance to partners, managers and all staff, enabling employees to make the best use of their capabilities and realize their potential to the benefit of the firm and themselves. This includes:

  • Implementing our people and talent strategy in line with business objectives
  • Resourcing, talent and career management
  • Reward strategy and salary review
  • Policy and procedures setting and the practical application of these across the business.

Main responsibilities

Reporting to the Human Resources Manager Greater China, you will act as the first point of contact for general HR queries and support across the whole employee lifecycle such as recruitment, employee cycle, HRIS, payroll, benefits administration, project as well as assisting with queries from international offices.

Resourcing

  • Managing the full recruitment process including job advertising, CVs screening, conduct interviews, extending offers with contracts of employment and on-boarding logistics;
  • Negotiate rates and terms of business with recruitment agents;
  • Coordinating induction programs for all levels of employees, as well as partners;
  • Liaising with the London office in relation to trainee secondments and NQs;
  • Administration on visa/employment pass;
  • Performance Management and Career Development;
  • Assist in managing new employees' probationary period through facilitating mid and end of probation meetings;
  • Handle maternity, paternity and other leave arrangements and flexible working;
  • Manage disciplinary and grievances procedures and be the first point of contact;
  • Provide advice and co-ordinate the annual appraisal process;
  • Work closely in liaison with L&D team to follow up on training needs.

Payroll and benefits:

  • All aspects of payroll including liaison with all government statutory boards;
  • Salary review administration and conduct benchmarking exercises;
  • Manage staff medical cover scheme and general benefits administration;
  • Efficient and accurate use of the HR and payroll system;

HR Systems:

  • Proactive and accurate use of HR Information System (CoreHR) to log and report on all headcount, absence, holiday and other employee data;
  • Policies, know-how and developing the HR function;
  • Keep abreast of changes in employment legislation and practices, update and revise policy and procedure including the update of Staff Employment Handbook;
  • Absence management - escalate concerns and issues when appropriate;
  • Initiate staff engagement activities as appropriate;
  • Practice certificate applications and renewals;
  • Handle off-boarding process including exit interviews;
  • All aspect of workplace safety and health.

Attributes/skills required

  • Analytical with the ability to interpret management information and data;
  • Accuracy and a strong eye for detail are essential;
  • Able to handle sensitive situations and information confidentially and discreetly;
  • Excellent organizational skills, planning and prioritization and time management;
  • Experience of an HR Information System/database, such as CoreHR;
  • Excellent verbal/written communication skills;
  • Strong computer skills, mainly Microsoft Office;
  • Awareness and understanding of core Employee Legislation and policies;
  • Partnership experience is not essential but experience working in professional services environment would be an advantage.
