Job Description

We are an established private members Yacht Club situated in the Sai Kung area with a busy Bar and Restaurant business. We operate a successful Sailing Centre and we have extensive marine facilities.

Responsibilities

  1. Ensuring close communications with all departments and members at HHYC.  Prepare memo, notice, and emails to internal and external stakeholders.
  2. Dealing with members and their related enquiries. Provide an efficient and high level of customer service.
  3. To develop the BOOKWHEN platform and maintain the new booking system for all holiday camps & programs organized by the sailing centre.
  4. Responsible for assisting the Sailing Centre Manager on duty rostering, attendance and payroll administration for part-time employees for both Sailing Office and Sailability Office.
  5. Main contact point to communicate with all members & sailors involved with sailing programs and events at the Club.
  6. Handle all administrative duties including issue certificates, attendance lists, course reminder emails, and requisition of stationary and handling petty cash for the department.  Ensure the Centre database and the files are properly managed.
  7. Web page and calendar updates for the sailing centre and courses organized.
  8. Send update of course schedules and details to PR & Marketing for E-Newsletters.
  9. Attend rotating shift at weekend at certain club events to meet operational needs

Other Responsibilities - Monthly Accounts

  1. Prepare all invoices and monthly accounts generated from POS for the Sailing Centre Manager review and approval
  2. Assist the Sailing Centre Manager to prepare financial documents including but not limited to monthly departmental financial summary, annual budget, P&L etc.

Requirements:

  • Possess relevant work experience preferable in clubs or hospitality industry but not studies in essential
  • 2-3 years secretarial support experience in a multi-cultural environment
  • Excellent communications and interpersonal skills
  • Patience, mature, detail oriented and basic accounting knowledge
  • Flexible on attending weekend work duty
  • Good command of written and spoken English and Chinese
  • Well versed in MS Office Word, Excel, PowerPoint
