Job Description

Our client is a Global company that innovates, optimizes and drives the supply chains and marketing promotions of many of the best known brands in the world. They are now seeking an Executive Assistant to join their team. 

Responsibilities:

a)      Provide executive support to Senior Vice President, Asia leader.

  • Manage the SVP daily calendar of meetings, appointments and events.
  • Acting as the point of contact between the executives and internal or external parties.
  • Coordinate/manage the Asia related meetings, including leadership meetings. Discuss agenda, draft the meeting schedule and distribute the pre-reads & other related materials. Team communications of emails, follow up status of action items.
  • Prepare Powerpoint presentations for internal and external meetings.
  • Coordinate and draft up the monthly Asia update to Global Leadership Team.
  • Administrate the Asia SharePoint info for the management team.
  • Consolidate reports/matrix for reporting purpose (monthly to quarterly).
  • Asia budget coordination & status tracking.
  • Asia project dashboard summary, status tracking, other tasks per business need.
b)     Event & communication coordination.
  • Coordinate, assist & facilitate company events, and other activities.
  • Overall communications interface for HK regional teams.
  • Prepare and support regional communication plans, including leadership. messages, market news and Townhall.

c)     Support HR operations in HK and China.

  • Oversee monthly attendance management for China payroll.
  • Ensure leave records are properly managed and maintained for HK and China.

d)     Travel support.

  • Travel support to Senior Vice President.
  • Support logistics arrangement for business trip of regional team as needed.
  • Visit arrangement/contact for incoming visitors.

e)     Office Management.

  • Ensure office management and administration support to the HK office to maintain office efficiency.
f)     Perform other duties/functions as assigned.

Requirements:
  • Bachelor Degree in Business Administration or related discipline.
  • At least 5 years of relevant experience in executive support or Administration and experience to support Senior Executive. Experience in Sizable company/ MNC preferable.
  • Highly organized with the ability to prioritize, strong sense of responsibility, mature and with excellent interpersonal skills.
  • Strong interpersonal & communication skills.
  • Hard working , good working attitude and good team work sprit.  Able to work under pressure.
  • Self-motivated, detail-minded, stable and dependable.
  • Cross-culture mindset.
  • Keeps confidential information as appropriate.
  • Good spoken and written in English & Mandarin.
  • Skilled in computer applications software (e.g. spreadsheet, word processing, strong Powerpoint presentation skills).
  • Immediate available is preferable.
