Role Purpose

People Services team is part of the UO People team that provides services and administration of the end-to-end transactional activities associated with the employee experience for UO employees and business units. The team covers talent acquisition, on-boarding, office administration and off-boarding activities.

• Undertake the full range of transactional people & office administration responsibilities including but not limited to the following:
  • Work with internal departments and external suppliers and vendors on facilities management for the office
  • Handle office supplies, mailing, parcels and courier service arrangements
  • Handle routine and other general office administrative tasks as assigned
  • Interview scheduling and room arrangements
  • Handle the application & renewal of work visa for overseas employees
  • Staff card application & preparation, Kwoon Chung bus registration and request
  • Handle the application of office access for new joiners and leavers access deactivation
  • Mass recruitment contract issuance and renewal (Cockpit and Cabin Crew)
  • Update and maintain relevant training bond records & outside work application records
  • Provide reliable and efficient people administrative support to employees and People department, ensuring reliable and efficient services are provided throughout the UO People Journey
• Ensure consistent people administration support to the whole People Team, within agreed parameters in order to maximize efficiency, effectiveness and reliability
• Participate in process optimization initiatives where needed
• Given the handling of sensitive data, maintain confidentiality and observe data protection and associated guidelines where appropriate

The Ideal Candidate

• High Diploma or above in business, HR, Office Management or relevant discipline
• Minimum 2 years of working experience in general HR, office administration and facilities management is a definite plus;
• Candidates with more experience will be considered for the position of Supervisor, People Services
• Proficient in MS Word, Excel and PowerPoint
• Good command of both written and verbal English and Chinese skills
