Job Description

We are seeking an Administrative Officer to support our Hong Kong Office of an international structural engineering firm for a maternity leave coverage from Oct 2022 till Jan 2023.

Responsibilities:

  • Provide full range of administrative support including facilities management, order office supplies, handle incoming calls and enquiries, incoming/outgoing mail, couriers and deliveries arrangement to ensure smooth office operations.
  •  Conduct routine accounting functions such as basic book-keeping, expense claims, invoices processing, monthly reporting, manage yearly audit and payroll administration.
  •  Assist in the preparation of marketing materials and fee proposals; coordinate the printing of business cards and brochures.
  • Maintain and update company records, handle insurance/license renewals; prepare budgets and forecasts for office-related expenses.
  • Assist in recruiting efforts, handle setups for new Employees.
  • Make travel, accommodation, visa and other logistics arrangements.
  • Coordinate with the company headquarters and other branch offices on accounting, marketing and other administrative issues.
  •  Assist in ad-hoc duties as assigned.

Requirements:

  •          Bachelor’s degree holder.
  •          3 years of relevant work experience.
  •          Good interpersonal and communication skills.
  •          Self-motivated with good problem-solving abilities.
  •          Strong organizational skills.
  •          Ability to multi-task and prioritize work load.
  •          Excellent written/verbal communication abilities, both in English and Chinese.
  •          Ability to type in Chinese.                        
  •          Proficient in MS Office applications (Word, Excel and PowerPoint).
