Job Description

Qualification Requirements

  • have a bachelor's degree from a Hong Kong university (2022 fresh graduate applicable) or equivalent;
  • possess 'Level 3' or above in Chinese Language and English Language in the Hong Kong Certificate of Education Examination (HKCEE), or equivalent; (See Note below)
  • be fluent in Cantonese, English and preferably Putonghua; and
  • have good knowledge in common computer applications including MS Word, MS Excel and Chinese Word Processing.
  • able to work on Saturdays, Sundays, Public Holidays, and work irregular hours.

Main Job Responsibilities

The duties of the Management Assistants are as follows:

  • To assist different projects under the Smart Library System (SLS);
  • To maintain the smooth daily operation of library and enforcement of the library regulation;
  • To organize and control the work schedules of supporting staff and contractor staff;
  • To monitor the work performance of supporting staff and provide in-house training;
  • To coordinate the compilation of library statistics and various returns;
  • To assist in overseeing the performance of Service Bureau staff, cleansing and security guard services;
  • To oversee and maintain in-house inventory, working store and supplies matters;
  • To assist in building management duties and follow up repair and maintenance works;
  • To participate in liaison work with library users and local organizations;
  • To assist in overseeing the computerized library services and facilities, including the NGILS library system, Internet, print management system (PMS), library workstations and e-resources;
  • To assist in management of the library collection including receipt and dispatch, review and development of the collection, supervise weeding of library materials, review the stock on open shelves and in Closed Stack for removal or circulation and perform preliminary screening and classification of library materials;
  • To assist in stock editing and suggest items to fill subject gaps;
  • To check the newly processed books before putting into circulation;
  • To handle readers' suggestion for library purchase and book donation;
  • To organise and conduct library educational and extension activities (e.g. subject talks, story-telling sessions, workshops and user education programmes etc.);
  • To receive and conduct library visits, prepare the publicity material and reading guides to promote the library services and assist in supporting District Council Co-Management and community partnership;
  • To answer readers' enquiries, provide readers' advisory services on library facilities and stock and assist in handling readers' complaints or dispute cases;
  • To assist in the promotion of library services and facilities;
  • Other duties as may be assigned by supervisors. Other duties as may be assigned by supervisors.
