Your new role
Human Resources provide support and strategy at every level of Morgan Stanley’s business. It helps the Firm and Division management with strategic direction in recruitment, talent development, retention and compensation. Human Resources Business Partner (HRBP) teamwork with individual divisions to deliver services in performance management, data analysis, employee relations and compensation. Other HR teams are product-focused, specializing in recruitment, learning and development, reporting and compensation.

The Position:
Human Resources Business Partner Coordinator role primarily supports the Hong Kong HRBP team. It includes interfacing with internal members of HR in every product area and country Business Partners, with opportunities to work with managers and employees across the divisions.

Key Responsibilities:
Support the day-to-day needs of the HRBP regional team across divisions, including but not limited to:
Employee Lifecycle

  • Ensure accurate data of new hires/employees in Workday system - update reporting line, cost center changesfor employees, leave tracking, One Time Payment initiation, Short Term Assignment or transfer records etc.
  • Administrative support on various HR letters - employment reference letters (general reference, bank account opening, visa support letters etc.), employment administrative letters (offer letter, termination letter etc.), including uploading soft copies to online Personnel Files and filing hard copies
  • Handle termination and off boarding admins, such as room arrangement for exit meetings, access termination management and exit logistics coordination
Talent Management
  • Consolidate nominations from managers for training programs and work closely with the Talent Management team on training reporting
  • Facilitate communication and participation of employees in the Performance Evaluation process including reporting from PE online system
  • Provide admin support on succession planning and diversity programs.
  • Support the Promotion process by extracting Employee Profiles, preparing Promotion roundtable packs that include promotion nomination forms and statistics

Compensation, Data and Reporting

  • Generate relevant employee activity reports from Tableau, work with Data team to produce accurate and timely analysis of data
  • Support the completion of monthly audits, in order to ensure accurate and reliable data in Workday and compensation systems
  • Prepare regular reports to divisions and update Global counterparts on employee activity such as hiring and terminations
  • Facilitate the completion and reporting of statistics for the annual employee engagement survey

Team Administration and Projects

  • Arrange postal mail/DHL/local courier
  • Concur/reimbursement and travel arrangements & bookings
  • Arrange meetings for visitors and external guest including room bookings
  • Manage team calendars
  • Participate in cross-division and cross-functional HR projects e.g. process documentation and process optimization

What you'll need to succeed

  • University degree and have at least 3 years of Human Resources working experience
  • Excellent verbal and written communication skills
  • Strong computer execution skills, e.g. MS excel, outlook
  • Conveys information in a clear, structured and understandable manner
