Job Description

Responsibilities:

  • Assist Director on full spectrum of secretarial and business operation support
  • Schedule meetings and manage calendars
  • Screen and response to Director’s emails  
  • Attend business meetings and take minutes
  • Accompany Director’s business trip
  • Maintain Director’s planner and travel log including flights, accommodation, and ground transportation
  • Arrange function e.g., send invitation to guest, venue decoration, F&B, table card, etc.
  • Organize personal holiday/events for Director and family
  • Other ad-hoc tasks as assigned
Requirements: 
  • Proficiency in spoken English is a must
  • Excellent command in spoken Cantonese and Mandarin
  • Excellent Diary Management with the ability to pre-empt and look ahead at all times
  • At least 5 years of experience working for Directors/Senior Management
  • Experience with complex travel and flight itineraries, particularly international travel/hotel bookings
  • Essential experience in Microsoft Office- Outlook/Word/Excel/PowerPoint
Interpersonal Skills 
  • Ability to multitask and experience of dealing with a demanding role and high-level workload
  • Ability to prioritize work and manage time effectively and be proactive
  • Excellent Organizational skills
  • Communication skills – the ability to communicate well at all levels
  • Always demonstrate a professional manner and possess the ability to remain calm under pressure
  • Ability to maintain a high level of discretion
