Job Description

 Job Responsibilities:

  • Provide courtesy reception services including greet visitors, handle main telephone switchboard, register incoming documents and coordinate booking of meeting rooms and such maintenance.
  • Responsible for office administration duties, include but not limited to, procurement of office supplies and equipment through e-Form platform, coordinate repair & maintenance of office equipment and facilities, information upload to Staff Portal, coordinate PABX telephone system, preparatory works for new joiners and leavers and support staff engagement activities.
  • Prepare monthly reports on office administration services, fixed asset disposal, seating plan, telephone extension numbers and offsite document warehouse storage.
  • Prepare monthly requisition forms on office administration services; assist to draft notice, memo, guidelines and PowerPoint slides, if required.
  • Assist in BCP drills and collaborate with various Departments / Divisions / Sections
  • Support mailing operations (mails opening, sorting and outbound mails franking); outdoor work is required as and when necessary.
  • Trouble shooting / problem solving / ad hoc duties as assigned from time to time.

Job Requirements:

  • Diploma or above;
  • Minimum 3 years’ relevant working experience in office administration, preferably experience gained from insurance or banking industry;
  • Proficiency in using Microsoft Word / Excel / PowerPoint is preferable;
  • Overtime work during weekday and weekend as required and necessary;
  • Diligent, well organised, flexible, proactive, willing to learn and adaptive;
  • Customer services oriented and good interpersonal skills;
  • Proficient in written and communication skills both in Chinese and English;
  • Detail-minded with high degree of accuracy and efficiency;
  • Able to multi-task with minimal supervision and under pressure.
