A. Procurement

1. Purchasing of all kinds of food and non-food items through the Company’s system

• Ingredients
• Equipment
• Packing
• Stationary
• Furniture

2. Vendor/Supplier Oversight

• Overseeing vendors and needing to have a close interaction with vendors/suppliers is required to learn about market changes and what products are available, particularly products only available on a seasonal basis.
• Maintain ongoing relationships with preferred suppliers
• Updating prices for items that the Company is purchasing all year round
• Responsible for negotiating contracts (along with the Management of the Company) with vendors as well as reviewing product quality and delivery times to ensure vendors are complying with their contracts.
• Responsible for finding and evaluating new vendors/suppliers for products needed by the Company
• Getting the best price possible for goods that meet the quality standards and parameters of the Company.

3. Receiving of products/merchandises

• Managing the receiving of all food and non-food items properly to ensure that the Company is receiving the correct quality and quantity of all items ordered and the items supplied as per the purchase order specifications not only in quantity but also in quality and the price charged is also as per the contracted rate.
• Stock entry in the Company’s system and proper storage of all items according to their needs, whether they would need to be stored in either temperature controlled or in an ambient environment.
• Liaising with the accounts department for the purchasing orders, payments (A/P)…etc.

4. Monitor Inventory

• Making sure that the Company would always have adequate amounts of materials on hand for production, but it is also important to keep in mind that demand fluctuates.
• Needing to maintain close relationships with materials providers to ensure prompt delivery of materials as needed. Lags in inventory replenishment can cause production delays. On the contrary, excess purchasing may lead to costly inventory management and waste if ingredients go bad.
• Tracking product usage and ordering to ensure timely purchases and maintain sufficient product levels to meet business demands.
• Stock taking on a regular period and preparation of reports

B. Logistics

1. Managing the Deliveries from our Premises to the Clients from A – Z

• Creating a delivery plan
• Providing delivery dates & info to the Commercial Service Sales Department →clients
• Making sure that all deliveries are signed for and filing of commercial invoices & delivery notes
• Getting in touch with our client’s receiving departments and to learn about their opening days & hours and if there is any specific needs to be made for them
• Problem solving ability is a must in case of unforeseeable circumstances such as traffic jams, delays in deliveries…etc.

2. Managing the Company’s vehicle

• Managing and working closely with the Company’s driver and to maintain an excellent professional relationship
• Maintenance and servicing of the vehicle with service providers

3. Managing the logistics partner(s)

• Working directly with the logistics partner(s) and to maintain an excellent relationship with him (them)
• To train the logistics partner on the importance of handling of our products with care (food items)
• Keeping an eye on the evolution of the industry in the market and making sure that the Company’s delivery expenses/costs are in check.

4. Analysis & reporting to the Management on logistics expenses on a regular basis

C. Maintenance

• Maintaining good communication and contact with after-sales services for equipments & lightings
• Obtaining quotations for equipment maintenance & repair
