Job Description

Purpose of the job

To provide overall support secretarial supports assigned management, manage all the business travel activities and supports and assigned administration activities.

Specific responsibilities:

  • Provide full spectrum of professional secretarial and administrative support for Area Vice President - North Asia and Pacific, Finance Director - Asia and HR Director, Asia.
  • Manage the travel/Visa agents to make sure to provide stable and good quality services of travel booking or visa related processes
  • Responsible for the travel & hotel management and work with local travel/Visa agents to provide good quality logistics support including hotel & air flight booking, related transportation arrangement, visa applications etc. for the visitors/ local management
  • Manage the HK driver activities to support the HK sales team and local team as required
  • Assist and support in organizing internal/external meetings, events etc. with admin. team in showroom/offices
  • Maintain good working relationship at all levels
  • Take meeting minutes as required
  • Provide other ad hoc supports as assigned by management

Education and experience

Essential:

  • University graduate, preferably in Business Management with 3 years' working experience as Personal Assistant/ Secretary/Administration Assistant for senior management who are VP level and expatriates including hands on support on meeting & transportation arrangement, hotel & flight booking, etc.
  • Experienced to support multi-bosses/ administration support will be an advantage
  • Responsible, well-organized and attention to details
  • Excellent presentation, communication and interpersonal skills
  • Creative, open minded, initiative and flexible
  • Able to work independently and under pressure is preferred


Competence

-          Fluent in Cantonese and Mandarin, proficient in spoken and written English

-          Proficient computer knowledge in MS office and Chinese Word processing

-          Able to work independently and under pressure
