Job Description

Our client is a retail Group, they are looking for a Contract Admin Assistant under agency payroll with medical.

Position: Administrative Assistant

· Support the project team to submit the Contracts / Invoices regularly

· Work closely with our Compliance & Finance team to follow up the Contracts / Invoices approval status and update the record accordingly

· Communicate with vendors / 3rd party to prepare contract renewal

· Support the team leaders to arrange travel booking and prepare forms to get senior management team’s approval

· Manage leaders’ calendar for meeting arrangement

· Help leaders to do the Concur Expense Report on each month

· Assist setting up the project / regular meetings invitation and lunch coordination if needed

· Assist for meeting workshop on logistics and dining arrangement

· Manage the conference room reservation or logistics arrangement for visitors when they visit to HK

· Back up for support other Senior mgnt when Executive Assistant is on leave

· Any ad hoc items or admin works if needed

Skills:

• English written and verbal communication skills.

• Mature, well-organized and approachable personality with good interpersonal skills

• Ability to thrive in a fast-paced, dynamic environment.

• Strong work ethic, and motivation to learn

• Proactive and reliable.

• Patience and outgoing

• Able to multi-task and prioritize workload.

• Ability to work well in a team environment and show flexibility as needed; willingness to take on ad hoc tasks and special projects.

• Comfort in dealing with all levels of employees.

• Good MS Office skills.

Qualifications

  •        A University degree
  •        Good experience in scheduling, administrative support and co-ordination
  •        Technology knowledge is a plus
  •        Experience working in large international environment/ international teams
  •        Good analytical and problem-solving skills
  •        Fluent in Mandarin and English
