Job Description

Key Responsibilities
  • Provide reception services using and hotel customer service approach whilst maintaining security.
  • Where required maintain the reception environment, including meeting rooms to make a positive first impression that reflects the nature of the site.
  • Co-ordinate any room bookings, catering, audio visual and equipment requirements requested by the client. This includes; liaison and coordination with external catering/equipment companies as/when required
  • Manage a range of administrative or helpful services which may include (but not limited to), telephone enquiries, couriers, security cards and passes.
  • Utilise software or other systems for room bookings, security badges and passes, help desk tickets, etc.
  • Effective complaint handling, feedback management, standards and client service delivery
  • Understand the site and key personnel to direct visitors, contact required site staff and resolve issues either directly or indirectly.
  • Responsible for the "first moment of truth" (FMOT) customer experience
  • Assist FM Coordinator / Assistant FM and FM Manager with administrative duties or project work as required
  • Provide the necessary support in the absence of others
Skills Required
  • Strong organizational and time management skills
  • High level of attention to detail
  • Strong verbal and written communication skills
  • Excellent personal presentation
  • Delegation skills - able to priorities accordingly and flexible in handling a variety of tasks
  • Complaint handling - able to resolve problems as they arise in an appropriate manner
  • Experience in a corporate reception or five star hotel environment
  • Administrative Skills - word, PowerPoint, excel and outlook are desirable
