Job Description for Personal Assistant

Leeha Capital is a family office with financial investments and wine and spirits businesses. The family has Asia/ European heritage and the main office is based in Hong Kong. The role is for a Personal Assistant for the two principles. As it is a small office set-up, the candidate would have to be comfortable in this setting and able to work independently. This role can offer flexibility and would be ideal for someone after a work-life balance.

Description 

  • As the scope of work is broad, the candidate should be a self-starter, comfortable with multitasking, working in different areas/industries and able to adapt quickly to new situations
  • This candidate would be the lead assistant of the office and the office is based in Central 
  • The candidate is required to have at least 5-7 years of work experience as an assistant
  • Required to have fluency in English and Cantonese. Most written correspondence will be in English.
  • In terms of approach to work, the ability to be self-organized and prioritize, attention to detail and a diligent “can do” attitude would be important

Responsibilities

As the lead assistant at the office, responsibilities for the head office will include office overhead management (payrolls, office bills, office management office related), HR function (payrolls, contracts), processing cheques and payments for various group companies and so forth.

  • For Personal :

    - Analysis of monthly budgets and spending; manage personal chequebook; coordinate with yacht and boat teams; any other personal related tasks assigned.
    - Maintain wine purchase records, and inventory on Excel, and keep track of shipments to HK.
    - Management of household staff, bills and ad hoc management and maintenance-related matters.

  • For the Financial Investments:

    - Routine daily, weekly and monthly work including downloading statements, notices and price summaries.
    - Coordination with private bankers
    - Coordinate documentation requirements for all investments (such as KYC and subscription documents).
    - Record cash flow schedule for all the private investments (including schedules of capital calls, and distributions) and coordinate with relevant parties.
  • For the Wine and Spirit businesses:

    - Receive wines on behalf of customers or the principals when necessary (not primary responsibility)
    - Process administration tasks such as utility bills, management fees, record cheques for expenses, HR contracts and MPF.
  • For Corporates in the group:

    - Well maintain bank records; scan all relevant receipts, maintain an accurate bank book for cheque recording, download statements and thoroughly check.
    - Support the company accountant’s work.
  • Basic communication with affiliated offices in Europe when relevant
Offering

  • Working hours are 9 am to 6:30 pm from Monday to Friday.
  • Salary and annual leave days are subject to discussion depending on the candidate’s background and level of experience.
  • Local health insurance is provided.
