Job Description

Reporting to the Senior Administration Manager, the incumbent will assume the following:

Key Responsibilities
  • Support the section head in daily discharge of administrative services and supervising a team of supporting staff
  • Support office fitting-out and modification projects
  • Carry out procurement activities in relation to administrative services, including sourcing suppliers, conduct of tendering or quotation exercises, managing supplier relationship, etc
  • Oversee storage for physical records including a system for sorting, filing, indexing, backup and protection
  • Provide support for event logistics, facilities management, office supporting systems, green measures and other administration project as necessary
  • Supervise general office administration, including document dispatch service, office cleansing and security, and management of fixed asset inventory records etc
  • Prepare business correspondence, reports and annual budget for the section

Requirements
  • A Bachelor’s degree, preferably in facilities / business management or related disciplines
  • At least 6 years' relevant experience preferably in sizeable or public organizations
  • Strong command of spoken and written English and Chinese
  • Proficiency in PC skills (ie MS Office and Chinese word processing)
  • Organized, meticulous and customer-oriented
  • Strong communication and problem-solving skills
  • Independent, multi-tasking and able to work under pressure
  • May be required to perform duties beyond working hours
