Performance Services provides HASE COO with dedicated, forward thinking, strategic ad-hoc and operational management support.  Performance Services also plays a key role in driving staff engagement, operational support, financial planning & management information, and business administration for all Digital Business Services’ units.

You will work closely with various departments to understand their operational and procurement needs, so as to structure comprehensive solutions to aid them to operate efficiently and excellently

We are currently seeking a high caliber professional to join our department as Assistant Corporate Affairs and Administration Manager .

Principal responsibilities

  • Assist in managing and monitoring the performance for external vendor of stationary storage and uniform production, etc. in accordance with the effective controls and vendor governance framework.
  • Coordinate with Business Users, Procurement and Subject Matter Expert (SMEs) to conduct regular meeting as well as all necessary vendor review and risk assessment.  
  • Assist in preparing service specifications and related documents for tender / Request for Quotation (RFQ) process, and participate in the whole vendor management life-cycle activities.
  • Assist in developing and implementing archival management programs to strategically collect, catalogue and preserve historical records to professional standards
  • Implement archive initiatives and organize related event and activities (i.e. showcase, exhibition, archive tours for colleagues and external parties, etc.)
  • Ensure all the applications of corporate club memberships are being processed for Senior Management on a timely basis after approved by Panel Members.
  • To provide administration support on Lunar New Year’s Premium Items (i.e. red packet, pocket dairy, poster, etc.) Order and Distribution Arrangement, Business Registration Renewal and Environmental MI Reporting.
  • Provide cross team supports within Performance Services where appropriate
Requirements
  • University degree in any disciplines
  • At least 3-4 years’ in banking industry, preferably with relevant experience in corporate administration and archive management / third party vendor management
  • Strong analytical, communication, interpersonal and project management skills
  • Good command of both spoken and written English and Chinese
  • Great growth mindset and resilience to embrace change, overcome challenges and create space for curiosity creativity and connectivity.
  • Great sense of ownership and servicing mindset to ensure efficient and effective customer service processes

(Candidates with less experience will be considered for junior role.)
