Job Description

School for Higher and Professional Education (SHAPE)

The School for Higher and Professional Education (SHAPE) is a self-financed arm of the Vocational Training Council (VTC). It offers top-up bachelor degree programmes to VTC’s Higher Diploma graduates and other sub-degree holders in collaboration with overseas universities. Applications are now invited for Term Executive Assistant II post at SHAPE.

Major Duties:
(a) To provide support in one or more of the following areas:
(i) general / course administration;
(ii) student affairs and student admissions;
(iii) supplies and stores administration;
(iv) human resources administration;
(v) course promotion or event organisation; and
(vi) data input and filing duties;
(b) To assist in website maintenance;
(c) To draft simple correspondence; and
(d) To handle enquiries.

Requirements:
(a) (i) 5 subjects in the Hong Kong Certificate of Education Examination (HKCEE) at Grade E / Level 2 or above, including English Language (Syllabus B)*, Chinese Language and Mathematics, or equivalent; OR
(ii) A combination of results in 5 subjects in the Hong Kong Diploma of Secondary Education (HKDSE) Examination at Level 2 or above in New Senior Secondary subjects / "Attained" or above in Applied Learning subjects / Grade E or above in Other Language subjects; and the 5 subjects should include English Language*, Chinese Language and Mathematics; OR
(iii) A recognized Certificate / Diploma / Foundation Diploma / Foundation Certificate, or Project Yi Jin;
(b) Good command of both spoken and written English and Chinese, fluency in Putonghua is definitely an advantage;
(c) Proficient in computer software applications including MS Word, MS Excel, MS PowerPoint, MS Teams and Chinese word processing;
(d) Good communication, interpersonal and organisation skills;
(e) Detail-minded, able to work independently and be a good team player;
(f) Candidates who possess knowledge/skills in Adobe software, e.g. Illustrator and Photoshop, would have an advantage; and
(g) Preference will be given to applicants with relevant work experience.

Notes:
(1) The appointee(s) may be initially posted to one of the SHAPE Offices located at Chai Wan.
(2) Shortlisted applicants will be required to attend a Computer Skills Test (CST) including document formatting, English and Chinese typing and use of spreadsheet.
(3) The appointee(s) may be required to perform duties outside normal office hours and/or work on shift duty.
